Councillor Joe Neal Regrets - Councillor Janice Jones Welcome - Jenny Bowman thanked all members present and opened meeting. Minutes of last meeting - Jenny Bowman read minutes and hearing no errors or omissions called for approval of minutes. Herb Tink made the motion for approval and seconded by Bev whitbread. Carried Treasures Report - Herb Tink. We currently have a balance of $36,648.13. Herb replied to questions. Karen Dair made the motion to approve the treasurers report. Seconded by Ron Whitbread . Carried. Business arising for the minutes - Re -opening of the Hall. After much discussion about the new Omicron variant, the cost of supplies to clean, the need to have someone present from the Hall, at all times - (the Town will provide someone to do the contact tracking) and no current bookings until May ,the decision was made to remain closed until April 1, 2022. The motion was made to remain closed until April 1, 2022 at which time we will reassess the situation by Karen Dair and seconded by Herb Tink. Carried. We currently have bookings for May ( wedding), June (elections), October 7,8 ( wedding) and October 24 ( elections). Herb Tink gave Park Board Report - the Park had two rentals this year - Tournaments - Porta Potties were rented and no food available. The benches on the front lawn were brought in for the winter. Herb Tink gave a report on the 2021 - 2022 snow removal - as we are not open for the winter it was decided that Jenny would contact The Town to see if it is possible for the Clarington ploughs to make a pass around the Hall. There is a school bus that uses the Hall for turning around and also accessibility for emergency vehicles. Jenny will contact Rob Groen. Herb Tink reported that we were still on hold for the garbage bins but we had the opportunity to cancel our contract due to an increase in their price. Herb will contact them and send a formal letter of cancellation of the service. We will reassess in April. Herb Tink made the motion to cancel the contract and reassess in April - seconded by Ron Whitbread - Carried. Karen had obtained a quote to repaint the kitchen. The colour needs to be changed and the walls need some repair and the paint is chipped on the island. The quote was from Lloyd Yesik for $3200.00. This would involve painting walls, inside and outside of cupboard, the island and any repairs that needed to be done to the walls or light sanding. We will leave the kitchen paint ready - wash cupboards and walls and remove door knobs. After some discussion the motion was made to go ahead and get the painting done by Lloyd Yesik for $3200.00 by Karen Dair Seconded by Herb Tink.Carried The BOAA had contacted us about the possibility of using the Hall for some programs in the rural communities . We told Kristi Pascoe that we were closed until January 1, 2022 but would contact her if and when we re -open. Jenny will inform Kristi that we ar remaining closed until April 1, 2022. We will do our Annual Winter to freshen up the Hall. Date is January 13, 2022 at 9:00 am. Date for the Annual Meeting February 24, 2022. 6:30 pm. Solina Community Centre. Herb will put notice on Facebook page. Item from the floor - The Park Board had been approached about a rental for a winter baseball game. The decided that due to Covid increases, possible damage to the field and parking lot will not be ploughed they were not going to rent the park for this venue. Bev Whitbread had looked into the prices for setting up a website but due to the fact we are not open until April it was tabled for discussion later. Ron whitbread called for adjournment at 7:30 pm. Date for next meeting to be set before April 1, 2022.
