SUPPLIER INFORMATION NIGHT
RECOMMENDATIONS:
It is respectfully recommended that the General Purpose and Administration Committee
recommend to Council the following:
1. THAT Report TR-66-00 be received for information; and
2. THAT Staff be authorized to further investigate the development of a data base in
conjunction with the Municipality of Clarington Board of Trade,
BACKGROUND AND COMMENT
On September 7,2000, the Municipality of Clarington hosted it's first ever Supplier
Information Night at the Courtice Community Complex.
The evening included speakers from the Durham Construction Association, Workplace
Safety Insurance Board, W.B. White Insurance, The Guarantee Company of North
America, the Municipality of Clarington Purchasing Manager, and the Kawartha
Pineridge District School Board Purchasing Manager. For information purposes a copy
of the agenda is attached marked as Schedule "A".
The evening was a great success with approximately 45 people in attendance from
area businesses. Those in attendance were appreciative of the information presented
as well as the opportunity to meet all the Purchasing staff.

As a direct result of this event, staff have been approached by the Clarington Board of
Trade with an idea that will help to improve the communication between its members
and the Municipality of Clarington Purchasing staff. They are proposing developing a
data base of its members that would be accessible for staff to utilize when soliciting
quotations for goods or services. From listening to the various presentations at the
Information Session, the Board of Trade has a better appreciation of the Municipal
purchasing policies and procedures and is prepared to develop the data based on
information that would assist purchasing staff. Prior to any development of the data
base taking place, input from the Municipality of Clarington Systems staff will be
required to ensure it is compliant with existing and proposed programs. It is not known
at this time if any financial commitment will be required from the Municipality of
Clarington. Although, it is hoped that the Clarington Board of Trade will in partnership
with its members cover any associated costs, any funds required by the Municipality
may be considered in future budgets.
Staff therefore respectfully request authorization to further investigate this opportunity
with the Clarington Board of Trade, The Board of Trade have discussed this
opportunity with their Board of Directors last week who enthusiastically supported the
idea.
Also based on the success of the Clarington Supplier Information Night, both the
Kawartha Pine ridge School Board and the Durham Purchasing Co-operative are
considering holding a similar event.
