Meeting: GENERAL PURPOSE AND ADMINISTRATION COMMITTEE Date: MONDAY, SEPTEMBER 17, 2001 File # F; [fir (;Ift-L{ 7? -01 Report #: COD-006-01 By-law # Subject: TENDER CL2001-34, MECHANICAL EQUIPMENT MAINTENANCE CONTRACT MUNICIPAL ADMINISTRATIVE CENTRE Recommendations: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1. THAT Report COD-006-01 be received; 2. THAT Tri-Air Systems, Scarborough, Ontario, with a total bid of $1 ,940.00, $2,040.00, and $2,140.00 (plus G.S.T.) for years one, two, and three respectively, and a Journeyman hourly rate of $67.50 be awarded the Mechanical Equipment Maintenance Contract, as required by the Municipality of Clarington; and 3. THAT the contract be extended for a second three year term pending satisfactory pricing and service; and 4. MM/LAB/eo/km 905 REPORT NO: COD-006-01 PAGE 2 BACKGROUND AND COMMENT: Tenders were advertised and invited with bids being received and tabulated as per Schedule "A" attached. The general scope of the work is to provide all necessary labour, materials, and equipment to perform service maintenance, inspections, repairs, as requested and emergency calls on mechanical equipment, as required by the Municipality of Clarington, for the period, September 1, 2001 and to expire August 31,2004. The total expenditure for this contract for 2000 was approximately $5,816.96. ($2,500.58 materials and $3,316.38 labour) The price bid for preventative maintenance for years one, two and three, represent an approximate 11 % increase respectively over the price bid for the 1996 contract. The subject firm have provided excellent service to the Municipality of Clarington for the past six years. The Director of Finance has reviewed the funding requirements and concurs with the recommendation. After further review and analysis of the tenders, it was mutually agreed by the Purchasing Manager and the Director of Operations that Tri-Air Systems, Scarborough, Ontario, be awarded the Mechanical Equipment Contract as outlined.
