REPORT TO THE GENERAL PURPOSE AND ADMINISTRATION COMMITTEE MEETING OF
JUNE 4, 1984.

SUBJECT: ANNUAL A.M.O. CONFERENCE, . ROYAL YORK HOTEL, TORONTO,
AUGUST 19th to AUGUST 22nd 1984.
RECOMMENDATIONS:
It is respectfully recommended that the General Purpose and Administration
Committee recommend to Council the following:
1 . That this report be received; and
2. That the Town of Newcastle appoint four (4) voting delegates in
addition to the Mayor; and
3. That the Clerk be directed to advise A.M.O. of the names of the Town's
delegates.
BACKGROUND AND COMMENT:
The Annual A.M.O. Conference will be held at the Royal York Hotel , Toronto,
during the period August 19th to August 22nd 1984. Members of Committee will
recall , that last year A.M.O. required that both Conference Registration and
Room Reservations had to be made through the A.M.O. offices and accommodation
requests accompanied by a room deposit. The same procedures are in effect
this year: Registration and reservations must be made through the A.M.O. office
and room reservation requests accompanied by a cheque in the amount of $69.00,
payable to the Hotel.
With respect to voting delegates, as in the past, all delegates must be
appointed by resolution and the resolution forwarded to A.M.O. as soon as
possible.

The Town of Newcastle is entitled to appoint four (4) delegates in addition
to the Mayor who is considered a voting delegate by virtue of the office he
holds in A.M.O.

1984 ANO ANNUAL CONFERENCE
VOTING DELEGATES OFFICIAL AC CREMATION FORN
The following information is being supplied to you in connection
with the Annual Conference of the Association, to be held at the
Royal York Hotel, Toronto , from August 19th to 22nd , 1984. This
form is supplied to your council for the purpose of registering
its allotment of voting delegates for the Conference. In this
regard, we request that you observe the following procedures :
1 . 1984 AMO membership fees must be paid by May 31st , 1984
In order to qualify for your alloted number of voting
delegates.
2. Voting delegates must be appointed by council resolu-
tion and the registration form certified by the Clerk
of your municipality .
3. In the event -of a change in the council appointment of
voting delegates , the changes must -be submitted by
certified notice .
4. A voting delegate shall have. one vote only .
5 . Please complete the attached form and return to the
Association offices as quickly as possible.

6. Please use either full name and second initial or two
Initials , i .e . , Charles E . Smith or C.E. Smith . Do not
use one initial and surname, i .e . , C. Smith . If there
is no second initial , write first name in full , i .e . ,

Please Note: In addition to the schedule set out on
the reverse side , all members of the Board of Directors
of AMO are granted a voting privilege by virtue of
holding office on the Board . These voting privileges
are in addition to the allotment granted to their own,
municipality .

Conference registration cards and badges for all delegates , visi-
tors or spouses are prepared from the enclosed delegate registra-
tion form. As we would like to have accuracy and uniformity in
our delegates ' badges , your attention to this form would be
appreciated . Please complete the form whether or not. you require
accomkodation .

PREPAID REGISTRATION AND SPECIAL CONFERENCE BADGES
A separate registration area will be provided at the Conference #
for those who have prepaid their registration fees . ?
Since the production of the badges requires additional effort , as
well as cost , it has been decided to produce specially printed
badges only for those completing pre-payment of registration fees
by must 3rd .

Pre-registered delegates ( not prepaid) and those registering on
site will receive typed conference badges .
DEADLINE FOR CONFERENCE RESOLUTIONS - JUNE 4TH
Members are reminded that resolutions to be presented at the
conference must be received by the office by June 4th for inclu-
sion in the printed resolution booklet . If time permits , late
resolutions from members of the Association may be received and
dealt with in a similar manner after other resolutions , but the
proposer may be responsible for delivering to the Executive
Director sufficient copies in type or print of each late
resolution not later than Saturday, August 18th , the day of the
last Resolutions Committee meeting prior to the conference .
ACCOMMODATION PROCEDURE
For the 2nd year we are using a room deposit system to accompany
the accommodation request . The procedure was highly successful
for the 1983 AMO conference. All AMO delegates that requested
rooms at the Royal York Hotel were so accommodated . Please
follow the guidelines below to reserve your accommodation .
ALL RESERVATIONS MUST BE MADE THROUGH THE AMO OFFICES.
A RESERVATION WILL NOT BE MADE UNTIL THE APPROPRIATE DEPOSIT FOR
THE FIRST NIGHT'S ACCOMMODATION IS RECEIVED.
Regardless of the type of room requested , $69 .00 (the single groom
rate) will be sufficient to fulfill the deposit requirement . For
example, if a large suite is requested, a deposit of $69.00 will
process the reservation . Deposit cheques should be payable to
the Royal York Hotel . Please send all cheques and forms to the
AMO offices only .
ACCOMMODATION IS PROVIDED ON A FIRST COME FIRST SERVE BASIS.
We-,,,encourage you to send in your completed forms as soon as
possible . Our cut-off for keeping our block of rooms in full is
30 days prior to the Conference, after which time we are in a
negotiating position with the hotel if we have not filled a
certain percentage of rooms . August is a very busy month for
Toronto hotels , and unless rooms are reserved it is difficult to
hold them . Therefore AMO cannot guarantee that it will be able
to acquire accommodation after July 27th , 1984.
CANCELLATIONS SHOULD BE MADE THROUGH THE AMO OFFICES.
Please notify the AMO offices of cancellations as soon as they
occur , as we always have a waiting list for accommodation . Room
cancellations received by Thursday, August 16th , at 2:00. p .m . (48
hours prior to the Conference) will be refunded in full . After
that time "NO SHOWS" will forfeit their deposit .

The Association will refund prepaid registration fees for dele-
gates and/or spouses unable to attend the conference , subject to
the following conditions :
If application for refund is received in writing by
August 8th , 198q a full refund will be issued ; and
If application for refund is received in writing either
after August 8th or within 30 days after the closing
date of the Conference, an administrative fee of $5 .00
will be deducted from the fee of each delegate and/or

1984 ACCOMMODATION RATES
A special rate has been extended by the Royal York Hotel to the
Association for our Annual Conference as follows:
Single : $69 .00 Twin or Double Bed: $81 .00
"Single" means a room occupied by one person only. "Double"
means a room occupied by two people. Three or more to a room
costs regular rate, plus $16.00 for a fold-away bed.
No charge for children 14 years of age and under occupying room
with one or both parents . If one or more children are
accompanied by both parents and more than one room is required ,
the single rate will apply for each room. _
