REPORT NO. : TR-40-85 SUBJECT: TENDER T85-9 - CONSTRUCTION OF THE BASE LINE COMMUNITY CENTRE. RECOMMENDATION: It is respectfully recommended: 1 . that this report be received; and 2. that Gerr Construction Limited, Bowmanville , Ontario , with a total bid of $251 , 800. 00 being the lowest bidder, meeting all terms , conditions and specifications of Tender T85-9 , be awarded the contract to construct the Base Line Community Centre as required by the Town of Newcastle; and 3 . that a purchase order be issued to the Regional Municipality of Durham in the amount of approximately $5 , 000. 00 to cover the cost of bringing the water and sanitary sewer lines to the lot line; and 4. that the funding for the total cost of the Base Line Community Centre be provided from the Expropriation Proceeds - Community Centres Reserve Fund and the provincial grant; and 5 . that once the building is completed any funds required for the opening ceremonies be drawn from the reserve funds ; and - 2 - TR-40-85 TENDER T85-9 - CONSTRUCTION OF THE BASE LINE COMMUNITY CENTRE. 6 . that approval of final payments to the contractor will be the responsibility of Mr. Jan Devantier , Director of Community Services , upon recommendation of such payment from the architect. BACKGROUND AND COMMENT: Tenders were publicly advertised and called for the construction of the Base Line Community Centre as required by the Town of Newcastle. Plans and specifications were provided by the architect , Mr. Grant Robertson, Cobourg, Ontario. Tenders were received and tabulated in accordance with Schedule "A" attached. Upon awarding of the tender the contractor will apply for all necessary permits and certificates , cost of which is included in their bid, as stipulated in the tender documents . All Conservation Authority cut and fill permits have been applied for and granted. Estimated starting date is June 17, 1985 with expected completion 18 weeks thereafter. Upon completion of the building,consideration may be given to the funding of equipment for the kitchen area if sufficient monies are available from the reserve fund. After review and analysis of the tenders it was mutually concluded by the Architect and Town Staff that Gerr Construction Limited be awarded the contract to construct the Base Line Community Centre . i - 3 - TR-40-85 TENDER T85-9 - CONSTRUCTION OF THE BASE LINE COMMUNITY CENTRE. Based on the above, Z recommend t o you acceptance of their ' tender. This tender amount is complete but does not include the Region's charges to bring the water, and sanitary lines to the lot line. This work has been estimated by the Region to be approximately five thousand dollars ($5,000.80) and will be an additional cost to the project.
