CAMPBELL, C.A., TREASURER 40 TEMPERANCE STREET TEL.(416) 623-3379 BOWMANVILLE, ONTARIO L1C 3A6 REPORT TO GENERAL PURPOSE AND ADMINISTRATION COMMITTEE MEETING HELD NOVEMBER 5, 1984 TR - 88 - 84 SUBJECT: ELEVATOR MAINTENANCE CONTRACT, NEWCASTLE PUBLIC LIBRARY RECOMMENDATION: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1 . that this report be received; and 2. that Council accept the renegotiated contract proposal submitted by Northern Elevator Service Ltd. , Scarborough, to provide elevator maintenance for the Newcastle Public Library at a cost of $170.00 per month; and 3. that the funds be drawn from Building Maintenance - Library Account which is to be established by the Town within it's budget in 1985; and 4. that the costs for the remainder of 1984 be funded through the contingency account, as previously approved by Council ; and 5. that the necessary By-Law be drawn by the Clerk to execute the agreement BACKGROUND AND COMMENT As part of the changes in maintenance arrangements for the Library building, staff were requested to review the existing terms and conditions of the five year elevator maintenance contract with Northern Elevator Ltd. , Scarborough. This contract was initially arranged for the term beginning July 1 , 1983 and terminating on July 31 , 1988. The current full maintenance contract charges are at a rate of $183.00 per month. Since this cost was somewhat higher than the trade rates, it was necessary to attempt to renegotiate the contract. Although the company have a binding contract, they agreed to negotiate new terms. The new proposal consists of a two year contract with a monthly rate of $170.00 as detailed in Schedule "A" attached. - PA GE 2 Staff concluded that it was advantageous to renegotiate with the company that manufactured and installed the elevator rather than attempt to secure another company.
