REPORT TO GENERAL PURPOSE AND ADMINISTRATION COMMITTEE MEETING
HELD OCTOBER 15, 1984

SUBJECT: RENTAL OF PHOTOCOPIER
RECOMMENDATION:
It is respectfully recommended that the General Purpose and
Administration Committee recommend to Council the following:
1 . that this report be received; and
2. that Council accept the written proposal from Office Equipment Company of
Canada, Markham, Ontario to rent to purchase one only Canon NP500AF
photocopier at a fixed monthly cost of $341 .00 for a period of 60 months
with a buyout option of $1.00 at the termination of the rental period;
and
3. that the funds be drawn from the current operating accounts which are
allocated for the payment of the current photocopy lease.
BACKGROUND AND COMMENT
The lease for the photocopier located in the Bell Building expires October 31 ,
1984. This copier is used by Community Services, Administrator's Office, and
Purchasing Office.
Along with the expiry of the lease, it is apparent that the functioning of
the machine has expired.
Accepting the proposal for the Canon photocopier will provide the following
benefits to the Town.
- The cost of renting is less than the current lease rate. ($365.00/month).
- Renting a copier eliminates third party leasing arrangements.
- Acquiring another Canon photocopier supports the standardization
concept.
- The past year with a Canon copier has proven reliability and dependability
with service and capability.

Staff recommends that Council accept the proposal to rent the new
Canon NP500 photocopier.
