ONTARIO BASIC MAPPING PROJECT RECOMMENDATION: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1 . that this report be received; and 2. that McElhanney Mapping Services, Ottawa, Ontario with a total bid of $72,376.00 being the lowest responsible bidder meeting all terms, conditions and specifications of Tender T84-5 be appointed as prime contractor to undertake the "Basic Mapping Project" as required by the Town of Newcastle in conjunction with the Ministry of Natural Resources; and 3. that staff further liaise with the Ministry of Natural Resources and the prime contractor to prepare an agreement for the commencement of the mapping project; and 4. that the agreement be presented to Council for approval , when available from the Mininstry of Natural Resources. BACKGROUND AND COMMENT Tenders were publicly advertised and invited for the Basic Mapping Project for the areas of Bowmanville, Hampton, Courtice, and Orono as required by the Director of Planning. Barnes Ltd. 98,450.00 Willowdale, Ontario Ar (continued) ,` -2- i Marshall Macklin Monaghan $104,640.00 Don Mills, Ontario Resource Mapping Services Ltd. 106, 105.00 Markham, Ontario Northway-Gestalt Corporation 118, 161 .00 Toronto, Ontario Photomap Air Surveys Ltd. 123,315.00 Rexdale, Ontario Airmap Ltd. 129,345.50 Ottawa, Ontario After review and analysis of the bids by Purchasing and Planning and consultation with the Ministry of Natural Resources, it was mutually agreed that McElhanney Mapping Services be recommended for the mapping project. It will be necessary to execute an agreement, following the appointment of the prime contractor, with the Ministry of Natural Resources , the Town of Newcastle and the prime contractor, to establish a contractual relationship for the funding and commencement of the project. The proposed agreement will be presented to Council for approval , upon availability by the Ministry of Natural Resources. It is necessary, at this time, for Council to appoint a prime contractor which is a prerequisite of the Province. Subsequently, an agreement drafted by the Ministry of Natural Resources will be presented to Council for approval and execution. Respectfully submitted, Kathryn A. Campbell , C.A. , B Comm.
