HomeMy WebLinkAboutTR-43-83 wspOM `v CORPORATION OF THE TOWN OF NEWCASTLE 40 TEMPERANCE STREET BOWMANVILLE, ONTARIO L1C3A6 TELEPHONE 623-3379 REPORT TO GENERAL PURPOSE AND ADMINISTRATION COMMITTEE MEETING HELD JUNE 20, 1983 TR - 83 - 43 SUBJECT: PROPOSAL - PHOTOCOPY EQUIPMENT RECOMMENDATION: It is respectfully recommended: 1 . that this report be received; and 2. that Council accept the written proposal from Office Equipment Inc. , Markham, Ontario to purchase via lease agreement (fixed term/fixed rate) one only Canon NP400 Copier at a monthly cost of $366. 16 for a period of 60 months. 3. that Council further adopt the attached by-law authorizing the execution of a lease with Customized Equipment Leasing Ltd. , Mississauga, in respect of the photocopy equipment. BACKGROUND AND COMMENT As a result of the increase in photocopying requirements of Public Works and Planning an overloading situation became evident with excessive break- downs which effected the administrative production of the office staff. To alleviate this situation and enhance the reproduction facility it was decided to purchase equipment to accomodate the photocopying requirements of Public Works and Planning. The proposed equipment would provide a machine which would be able to handle the load capacity with the additional features of reduction , enlargement, and mylar reproduction. The special features would be a definite cost saving in terms of staff travelling and contracting others to produce these requirements. Photocopy paper requirements would also be standardized with the use of regular bond paper which would be compatable with the unit in the Town Hall . The benefit to this proposal would be the transferring of the Nashua 1260 from Hampton to the Bell Building in Bowmanville for usuage by Administration, Community Services and Purchasing. A key control in this machine would allow the costs to be appropriately charged to actual department usage and also replace the redundant photocopier in the Community Services area. Continued. . . . . (Page 2) The costs required for the new copier will be provided by the current 1983 budget which is within the amounts now being expended for the Nashua 1260. The additional funds required to complete this fiscal budget year for the Nashua 1260 being relocated to the Bell Building will be absorbed by Community Services , Administration and Purchasing. The Savin 1220 copier currently in Community Serv- ices will be relocated the the Fitness Centre. This unit is owned by the Town and the cost for the Fitness Centre to operate and maintain this machine will be min- imal . In essence, the new acquisition benefits all departments associated with the total reproduction restructure and alleviates the administrative burdens currently being experienced. The Corporation of the Town of Newcastle HEREBY ENACTS AS FOLLOWS; That the Mayor and Clerk are hereby authorized to execute on behalf of the Corporation of the Town of Newcastle and seal with the Corporation Seal , an Agreement between Customized Equipment Leasing Ltd. and the said Corporation , which is attached hereto as Schedule "X" By-law read a first time this 27th day of June 1983 By-law read a second time this 27th day of June 1983 by-law read a third time and finally passed this 27th day of June 1983 Mayor r �l Clerk
