By-Law # MEETING: GENERAL PURPOSE AND ADMINISTRATION COMMITTEE DATE: November 18, 1991 REPORT #: TR-102-91 FILE #: SUB.ECT: TENDER NW91-39 Structural Reinforcing - Newcastle Community Hall RECOMMENDATIONS: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1 . THAT Report TR-102-91 be received; 2 . THAT Gerr Construction, Bowanville, Ontario, with a bid in the amount of $48, 150. 00 being the lowest responsible bidder meeting all terms, conditions and specifications of Tender NW91-39, be awarded the contract for Structural Reinforcing of Newcastle Community Hall; and 3 . THAT the total funds required in the amount of $51,650 . 00 ($48, 150.00 contract + $3,500. 00 design and construction administration) be drawn from the 1991 approved Community Services Capital Budget Account #7029-00003-0501. BACKGROUND AND COMMENT: Tenders were issued and publicly advertised in all (4) area newspapers for the Structural Reinforcing of Newcastle Community Hall, as required by the Department of Community Services . 1 l Page Two Tender NW91-39 Structural Reinforcing - Newcastle Community Hall Subsequently tenders were received and tabulated as follows: Bidder Total Bid Amount Gerr Construction $48, 150 . 00 Bowmanville, Ontario Sargun Group Ltd. 48,877 . 00 Pickering, Ontario Winvalley Contracting 59,625.75 Whitby, Ontario Other associated costs are estimated at $3,500 . 00 for design and construction administration, which brings the total required funds to $51,650 . 00 . The required funds will be drawn from the approved 1991 Community Services Budget Account #7029-00003-0501 and are reflected on page 144 of the 1991 Capital Budget. The total funds allocated for various projects for this facility are $55,500. 00. To date, approximately $1,600 .00 of this amount has been expended for the repointing of the bricks and the caulking. It is therefore. proposed that the remaining projects (windows, ceiling repair) , not be completed in 1991 and that they be included for consideration in the 1992 Capital Budget. Subsequently, the total funds available would then be $53,900 .00 . The Treasurer has reviewed the funding requirements and concurs with the recommendation. Queries with respect to department needs, specifications, etc. , should be referred to the Director of Community Services . After further review and analysis of the bids by Purchasing and Community Services, it was mutually agreed that the low bidder, Gerr Construction, Bowmanville, Ontario, be recommended for the contract for the Structural Reinforcing of Newcastle Community Hall.
