SUB,ECT: REQUEST FOR PROPOSAL RFP91-2, MOBILE FILING SYSTEM
RECOMMENDATIONS:
It is respectfully recommended that the General Purpose and
Administration Committee recommend to Council the following:
1. That Report TR-73-91 be received;
2 . That Tab Products of Canada Ltd. , Willowdale,
Ontario, with a total bid price of $14, 194 . 39 be
awarded the contract to supply and install a _"Moveable
Aisle" Filing System, as required by the Clerk's
Department; and
3. That the funds expended be drawn from Account
#2900-00017-0000, General Capital Reserve.
BACKGROUND AND COMMENT:
Quotations were advertised and invited with bids being received
and tabulated as per Schedule "A" attached.
As part of the specifications, bidders were requested to quote on
a system which would give the maximum filing capacity for the
area allocated.
In comparing the two (2) options quoted by the low bidder, it is
recommended that Option #2 be accepted, as it provides the
maximum filing capacity.
The required funds will be drawn from Account #2900-00017-0000
General Capital Reserve. Funds in the amount of $15,500 . 00 were
carried over from 1990, and indentified through the Report on
year end transfers TR-56-91.

The Treasurer has reviewed the funding requirements and concurs
with the recommendation. Queries with respect to department
needs, specifications, etc . , should be referred to the Town
Clerk.
Although the low bidder has not previously performed for the Town
of Newcastle, they have provided satisfactory service for the
Regional Municipality of Durham.
After further review and analysis of the bids by Purchasing and
the Town Clerk, it was mutually agreed that the low bidder, Tab
Products of Canada Ltd. , be recommended for the contract to
supply and install a Moveable Aisle Filing System, Option #2 .
