HomeMy WebLinkAboutTR-63-88 TOWN OF NEWCASTLE REPORT File # Res. — -- By-Law # MEETING: GENERAL PURPOSE AND ADMINISTRATION COMMITTEE DATE: September 6, 1988 REPORT #: TR-63-88 FILE #: SUECT: COMMUNICATIONS RECORDER SYSTEM - FIRE DEPARTMENT RECOMMENDATIONS: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1. That this report be received; and 2. That the procedures set out in the Purchasing By-Law #82-92, Section 5, Paragraph 04, be waived for this particular transaction; and 3. That a purchase order in the amount of $34,992.00, to supply, deliver and install an Eight Channel Model 9000 Communications Recorder and Three Digit Call Checks, be issued to Dictaphone Canada Ltd. , Etobicoke, Ontario; and 4. That the funds expended be provided from the approved 1988 Fire Department Capital Budget Account #7102-00001-0504. BACKGROUND AND COMMENT: The Fire Department received approval in the 1988 Capital Budget to purchase a Communications Recorder System. Page 2 TR-63-88 COMMUNICATIONS RECORDER SYSTEM - FIRE DEPARTMENT Subsequently, on site meetings were held with a representative from Dictaphone Canada Ltd. , to discuss the Fire Department's special needs and requirements. The total bid price of $34,992.00 includes the first year maintenance on the equipment and is within the approved Capital Budget of $35,000.00. A copy of the proposal as well as a partial users list is attached, marked Schedule "All. The Treasurer has reviewed the funding requirements and concurs with the recommendation. Queries with respect to department needs, specifications, etc. should be referred to the Fire Chief. As Dictaphone Canada Ltd., is the sole supplier of the required equipment, staff is recommending that the contract be awarded as suggested, rather than going out for tender. We have sole supplier status where it has been required; Sc East York Fire Departments have both confirmed this in the past month of two.
