By-Law # MEETING: GENERAL PURPOSE AND ADMINISTRATION COMMITTEE DATE: July 18, 1988 REPORT #: TR-58-88 FILE #: SUECT: CO-OPERATIVE TENDER, FUEL OIL RECOMMENDATIONS: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1. That this report be received; and 2. That Petro Canada Inc., North York, Ontario, with a net unit price in the amount of $ .1970 per litre, being the lowest responsible bidder meeting all terms, conditions and specifications of the Durham Region Roman Catholic Seperate School Board Co-Operative Tender, be awarded the contract to supply and deliver No. 2 Domestic Fuel Oil to the Town of Newcastle for the 1988/89 winter season; and 3. That the funds expended be drawn from the 1988/89 budget allocation for heating of facilities. BACKGROUND AND COMMENT: The Town of Newcastle joined the Durham Region Roman Catholic Seperate School Board on a Co-Operative basis to tender for the supply and delivery of No. 2 Domestic Fuel Oil. Affiliated Hall Boards, Museums and Park Boards were given the option of being included in this tender. Page - 2 - TR-58-88 CO-OPERATIVE TENDER, FUEL OIL Subsequently, the bids were received and tabulated as per the attached Bid Summary, marked Schedule "A". In comparing the four (4) low bids, it is recommended that the bid from Petro Canada Inc. , be accepted, as their prices are firm until September 30, 1989, whereas the prices from DX Oil Company, Esso Imperial Oil and Dixon Fuels are subject to thirty (30) days notice prior to a price adjustment. The required funds will be drawn from the 1988/89 budget allocation for heating of facilities from which there are adequate funds available. The Treasurer has reviewed the funding requirements and concurs with the recommendation. The price tendered represents a price decrease of approximately fourteen percent (14a) over the 1987/88 prices. After further review and analysis of the bids by Purchasing, it is recommended that Petro Canada Inc., North York, Ontario, be recommended for the contract award to supply and deliver Fuel Oil as required by the Town of Newcastle. The subject firm has performed satisfactorily for the Town of Newcastle in recent years. Respectfully submitted, Recommended for presentation to the Committee, .R.
