QUOTATION Q93-4, MECHANICAL EQUIPMENT MAINTENANCE CONTRACT
Subject: MUNICIPAL ADMINISTRATIVE CENTRE
Recommendations:
It is respectfully recommended that the General Purpose and
Administration Committee recommend to Council the following:
1. THAT Report TR-44-93 be received;
2 . THAT Tri-Air Systems, Scarborough, Ontario, with a
total bid of $1,350 .00 for year one ( 1) , $1,450.00 for
year two (2 ) and $1,600. 00 for year three (3) and a
hourly rate of $55.00 (plus applicable taxes) , be
awarded the Mechanical Equipment Maintenance Contract
for the Municipal Administrative Centre, as required by
the Town of Newcastle; and
3 . THAT the funds expended be drawn from the 1993
Mechanical Equipment Maintenance budget.
BACKGROUND AND COMMENT:
Quotations were advertised and invited with bids being received
and tabulated as per Schedule "All attached.
The general scope of the work is to provide all necessary labour,
materials and equipment to perform service maintenance,
inspections, repairs, as requested and emergency calls on
Mechanical Equipment at the Municipal Administrative Centre, as
required by the Town of Newcastle, to commence immediately and to
expire April 30, 1996 .
For the information of Council, the total expenditure for the
prior three (3) year contract was approximately $56,000 .00 . Of
this total only $21,763 . 00 was for preventative maintenance with
the balance of $34,237 . 00 being for emergency repairs, charged at
the hourly rate. Any emergency repairs that may be required are
over and above the total bid amounts .

The 1993 hourly rates and the price for the preventative
maintenance represent approximately an eighteen percent ( 18%)
decrease and eighty percent (80%) decrease respectively over the
previous contract.
The Facilities Manager has discussed the contract with the low
bidder and is confident that they can perform the required
service.
The Treasurer has reviewed the funding requirements and concurs
with the recommendation. Queries with respect to department
needs, specifications, etc . , should be referred to the Director
of Community Services.

After further review and analysis of the quotations, it was
mutually agreed by Purchasing and Community Services that Tri-Air
Systems, Scarborough, Ontario, be awarded the Mechanical
Equipment contract for the Municipal Administrative Centre.
Although the subject firm have not previously performed for the
Town of Newcastle, they have provided satisfactory service for
both Ontario Hydro and the City of Toronto.
