Subject: CL94-7, ONE ( 1) ONLY COMPACT WINDOW VAN
Recommendations:
It is respectfully recommended that the General Purpose and
Administration Committee recommend to Council the following:
1. THAT report TR-17-94 be received;
2 . THAT Marigold Lincoln Mercury Sales, Whitby, Ontario, with a
total bid in the amount of $19, 110. 70 (including taxes) , being
the lowest responsible bidder meeting all terms, conditions
and specifications of Tender CL94-7, be awarded the contract
to supply one ( 1) only Compact Window Van, as required by the
Municipality of Clarington, Department of Public Works; and
3. THAT the funds expended be provided from the approved 1994
Public Works Fleet Account FORTHWITH.
BACKGROUND AND COMMENTS:
Tenders were publicly advertised and invited for the supply and
delivery of one ( 1) only Compact Window Van, as required by the
Department of Public Works . Subsequently, tenders were received
and tabulated as follows .

Although, the bid from Cliff Mills Motors is low at $17,489 . 90, if
the trade in of the existing 1987 Chev Van is accepted, it is
staff's opinion that the trade in offered is lower than what would
be realized at the annual Regional Auction Sale. In past years,
similar vehicles have sold at a substantially higher price.
Therefore, if this bid is adjusted to exclude the trade in, the
total is $20,729 . 90.

After further review and analysis of the tender by Public Works and
Purchasing, it was mutually agreed that Marigold Lincoln Mercury
Sales, Whitby, Ontario be recommended for the contract to supply
and deliver one ( 1) only Compact Window Van to the Municipality of
Clarington, as required by the Department of Public Works .

Due to the early cut-off dates imposed by the Manufacturers for j
ordering 1994 vehicles, a forthwith approval is requested.
The required funds will be provided from the approved 1994 Public
Works Fleet Account, and are within the $22,000 .00 allocation as
reflected on Page 61 of the 1994 Draft Capital Budget.

The Treasurer has reviewed the funding requirements and concurs
with the recommendation. Queries with respect to department needs,
specifications, etc . , should be referred to the Director of Public
Works .
The subject firm has previously provided satisfactory service for
the Municipality of Clarington.
