Recommendations:
I
It is respectfully recommended that the General Purpose and
Administration Committee recommend to Council the following:
1 . THAT Report TR-98-97 be received;
2 . THAT Pritchard Mechanical, Port Hope, Ontario, with a total
bid in the amount of $33 , 651 . 50 (including taxes) , being the
lowest responsible bidder meeting all terms, conditions and
specifications of Quotation Q97-20, be awarded the contract to
supply and install a gas furnace for the Newcastle Memorial
Arena, as required by the Property Management Department;
3 . THAT the funds in the amount of $12, 000 . 00 be provided from
the Administration/Facilities 1996 Capital Budget Carry-over
Account ##1110-00166-0000; and
4 . THAT the remaining funds in the amount of $21, 651 . 50 be
provided from Administration/Facilities 1997 Capital Budget
Account ##7029-00000-0501 .
BACKGROUND AND COMMENT:
A quotation was issued with bids being invited for the supply and
installation of a Gas Furnace for the Newcastle Memorial Arena.

As the total project cost was originally estimated to be under
$20, 000 . 00, a formal quotation request rather than a tender was
issued.

Subsequently, bids were received and tabulated as follows :

It is recommended that funds in the amount of $12, 600 . 00 will be drawn
from the 1996 Administration/Facilities Capital Budget Carry-Over Account
#1110-00166-0000 . The remaining funds in the amount of $21, 651 . 50 will
be drawn from the approved 1997 Adminstration Capital Budget Account
#7029-00000-0501 as reflected on Page 16 of the Capital Budget .
$30, 000 . 00 was allocated to include the gas conversion and building code
retrofit which will be completed under this contract .
After further review and analysis of the bids submitted by Purchasing,
Property Manager and Totten Sims Hubicki, it is recommended that the bid
from Pritchard Mechanical, Port Hope, Ontario, for the supply and
installation of a Gas Furnace at Newcastle Memorial Arena be awarded the
contract in the amount of $33, 651 . 50 .
Pritchard Mechanical have successfull y completed p eted contracts for the
Municipality in the past .
