Moved by Muriel Moynes Seconded by Tim Funchion Carried 3.0 Approval of the Minutes of the Board Meeting of March 22nd 2014 Motion to approve the minutes Moved by)osie Roberts Seconded by Tim Funchion Carried 4.0 Business Arising from previous meeting 4.1 Vacant Position on the Board. The Clarington Older Adult Centre Bylaws say that there should be 10 Board Members (excluding Municpal Representatives). At this time we only have 9, as Steve Coles is now past president. The Board considered 3 options: 1. Revisit the original voting list at the AGM and offer the position to the next in line 2. Ask the nominating committee to go back to the membership for another candidate 3. Leave things as they are until the next AGM Motion to approach Terry Trail, to see if she would accept the position Moved by Alan Bayliss Seconded by Muriel Moynes Carried 4.2 Older Adult Strategy Update A steering committee is being formed to work with the consultants on this project. There are 3 firms being considered and one will be chosen by June 17`h 2014. Presently the members of the Steering committee are Erica Mittag, Sharon Meredith, Joe Caruana, Angie Darlison, John Coffey, Julie Michalyke-Earle, and the Director of Social Services from the Region of Durham. 5.0 Correspondence 5.1 Letter from MPP John O'Toole This was a thank you letter to us for inviting him to our AGM 5.2 Municipality of Clarington RE: Appointment of Older Adult Steering Committee Informing us that a Steering committee is being formed to work with the consultants in regards to the Older Adult Strategy 5.3 Municipality Of Clarington RE: Request for representation on the Older Adult Steering Committee. This letter is requesting that 2 members of the COAA participate as members of the Steering Committee. 5.4 Ontario Government RE: 2014 Senior Achievement Award Motion to receive 5.1, 5.2, 5.4, for information Moved by Muriel Moynes Seconded by Irene Gourlay Carried Motion that we open the discussion on 5.3 Moved by Tim Funchion Seconded by Josie Roberts Carried Motion to appoint Cathie Ward and Steve Coles (with Norma Evans as an alternate if Steve declines) to the Older Adult Strategy Steering Committee. Moved Malcolm McCombe Seconded by Tim Funchion Carried 6.0 Reports 6.1 Treasure's Report Alan presented the Treasurer' report. We are going to try to capture the costs of the satellite Programs, and add that information to the report. This was thought to be a great idea and something that needs to be done. Motion to approve the Treasurer's report as presented Moved by Ron Hooper Seconded by Tim Funchion Carried i 6.2. Staffing Report Angie informed the board that Service Canada is funding three students this year and the roles will be filled by: • A University student, which is filled for the 3rd year by Chelsea Wolf • A High School Student, which is filled for the 2nd year by Connor Visser • A Senior High School Student entering University Christine Leherbaurer The Summer drop-in programs in Courtice are going to be held at the Courtice Flea Market Site. 6.3 Municipal Update Ron Hooper reported on staffing changes at the Municipality Pattie Barrie retired as Clerk, and Anne Greentree will be her replacement. June Gallagher is the new Deputy Clerk. Jerry Barber retired as Purchasing Manager, and the new Purchasing Manager is David Ferguson. The Queen Street development is still in the works. The picking up of branches from the ice storm is still going on. The Operations Department reported that our garage roof will cost about $35,000 to fix. The work on the upstairs bathroom is being done and should be finished in about 3 weeks 6.4 Fundraising Report Elaine Spicer reported that things were going well and we are on track to reach our budgeted goal. Motion to accept all reports Moved by Josie Roberts Seconded by Elaine Spicer Carried 7.0 Other Business 7.1 Ribfest Coverage Muriel Moynes, Irene Gourlay and Barb Singleton are working on the schedule. Chelsea Wolf sent out emails to fill vacant time slots. Help is still needed for setting up and taking down. Ron Hooper offered to help and Josie Roberts offered Fred Roberts who will drive Angie Darlison's truck. Muriel Moynes will arrange to have everything ready to be taken from the COAA. There is to be a meeting for all volunteers on Thursday at 3pm. Kevin Anyan from Rotary will be giving a presentation on where the Rotary funds will be going, and packages will be given out to the volunteers. This year the COAA will have an information booth as well. Also this year the volunteers will be given tickets for coffee, hotdogs and hamburgers supplied by Rotary. 7.2 Doors Open Clarington This year the Clarington Older Beech Centre facility is part of this tour. Volunteers will be manning the cafe and an information centre. Volunteers from the Museum will be showing people around the building. This event is happening June 14`h from 10 am — 4 pm. 7.3. The Garage Roof i The garage has been in disrepair for many years, and at the St. Partick's day lunch, the roof fell in. The estimate from the municipality for the repair is $35,000. The general feeling was that it could be rebuilt for less than the municipal estimate. We discussed taking the garage down and rebuilding it, taking the plans that the Municipality have and perhaps fundraising ourselves to raise the money needed.
