NEWCASTLE VILLAGE COMMUNITY HALL BOARD
Meeting of the Newcastle Village Community Hall Board
held on October 21, 2014 at 7 pm in the Council Chambers.

MINUTES
1.1Motion by S. Rogers, seconded by S. DeJong
That the minutes of September 16, 2014 are amended to reflect ‘section 1.1’ is a motion to
accept June 2014 minutes. “Carried”
BUSINESS ARISING
2.1 Contract and payment for Mason’s Gala in March 2015 have been received.
2.2 C. Abraham reported on Older Adults Strategy public meeting - felt it did not pertain to our
group as it seemed geared to COAA rather than Older Adults Strategy for the Municipality i.e.
transportation and accessibility throughout the Municipality not just at COAA.
2.3 Park bench donated by Newcastle Seniors has been installed just outside of patio area on west
side of building.
2.4 Privacy fencing has been measured out – Operations Dept B. Genosko is heading up install.
2.5 Copies of NCH bylaw will be handed out. Discussed creating bylaws to be used by the board and
sub committees in the new year.
FINANCIAL REPORT
3.1 Motion by B. Carmichael, seconded by P. DeJong
That the financial report is accepted as presented. “Carried”
BILLS
4.1 Motion by P. DeJong, seconded by S. Rogers
That the following invoices be paid as presented – S. Fogg $550.00, B. Carmichael $75.00

CORRESPONDENCE
5.1 Correspondence from England email from a Mr. Lay informing us he had a copy of small booklet
with original details of the hall – had found them in his father’s items. He mailed booklet to us –
we do have copy of this same booklet in file.
FUNDRAISING
6.1 Fall Harvest report attached – net profit $461.08.
Also received a $1000.00 donation from Lions BBQ and No Frills. We should acknowledge this
donation in public.
November 14 is Jacquie Kent Jewelry Party starting at 5 pm. Help is needed for this event.
March 28 2015 Hotel California Concert
B. Carmichael has approached Victoria Sautner and Joyce King to join committee.
Motion by B. Carmichael, seconded by S. Rogers
That Victoria Sautner and Joyce King be approved as additions to the committee.

BUDGET
7.1 First draft of 2015 budget discussed. Final budget to be approved at November meeting.
NEW BUSINESS
8.1 December 16 will be Christmas dinner at 6 pm. (This has been booked at Newcastle House)
8.2 Discussed how to better handle closings and cleaning for next event over weekends when there
is more than one event booked. No clear plan determined, will continue to work on issues as
they arise.
