Attendance taken. 2. Meeting called to order at 9:30 a.m. 3. March minutes approved by Steve and seconded by Jeanie. 4. Business Arising from Minutes: n/a 5. Treasurer report: that there is currently a balance of$35,000.00 after receipt of the funds from the Municipality 6. Committee Reports: Banners will go up at the end of May There are new Canada banners and the Newcastle Banner has the website on it. Christmas wreaths are still available for sale Advertising: report from Catherine Peterson Donna Wood the webmaster has freshened up the website. All advertisements in the future must have the website on it. Jen Cooke's idea of the Globe and Mail tourist advertising deal was accepted. A Harley said she understood it had been cancelled - Not enough participation need 10 only had 5. It was suggested by S. Lawrence that window decals indicating BIA membership should have the website on it and everyone should have one. Catherine suggested that the magnets had done a good job, but Deb Bedbrook said she still had plenty of magnets. The pictures from the Easter Bunny breakfast are already up on the website. Jeanie Barrett has been providing photos of the landscaping project progress for the website Catherine reported that they need a blogger for the website. She had tried Alan Kirby and Myno Vandyke was suggested. Deb Bedbrook asked about the little quarter page that Bowmanville has in every retail outlet, listing all the major events of the year. Catherine Peterson explained the website will cover that. However for visitors from say Port Hope who have come over for lunch it would be great if they could take a little list away with them. Theresa was requested to ask Jen Cook about possibly printing a little calendar for Newcastle. Also can we have a bundle of the visitor guide books to hand out from our retail outlets. Special Events; Breakfast with the Easter Bunny- A report from Marnl given by Theresa there were over 300 served. The cost of the food was $70.00 and with funds received the advertising costs were paid, the event broke even. Councilors Wendy Partner, Ron Hooper and Mayor Adrian Foster all helped and a special thank you to Emily Buckely for being a great Easter Bunny. Diane Stephenson reported on plans for the Fall Festival (copy of her report is to be submitted separately). Her committee has had its first meeting. They are looking for a Home Town Harvest theme for this year and are talking about asking business to decorate in that vein. They are going to be looking for prizes for best harvest dressed home, Prizes for some of the many events they are considering. They are hoping to have a fiddle contest. They are going to ask all the local restaurants to provide a booth to make a food court. Planning lots of kids games and events with everything being geared towards the family, Catherine was Inquiring about the yellow signs that people used to put in their business windows to advertise Fall festival, apparently there are only a few left according to Karen Bastas. Also Karen noted that there are some 4 x 8 signs in the storage unit that she had been unaware of that could be useful Clarington Tourism Marketing Board: Ann Harley is the representative. April 11 was the first meeting Ann had attended of the new group (previously the Clarington Marketing Minds) They will be applying to be a Board of Council and receive permanent funding to fulfill their mandate. They state their mandate is to "work cooperatively to promote Clarington as a 'top of the mind` tourism destination. The Board is also intended to oversee the development of tourism locally by helping to strengthen the overall visitor experience through marketing and product development" They intend to do this by coordinating the following objectives: Liaise with Clarington Council and the Communications &Tourism Office Establish and maintain an inventory of the Clarington tourism product Facilitate and advise Clarington council and staff in the development and implementation of a comprehensive Tourism Strategic Plan - including both long-term and short-term objectives Identify emerging tourism trends/niche markets and conditions that are integrate/complementary to comprehensive Tourism Strategic Plan Facilitate the development and implementation of an annual Tourism Marketing Plan - including joint advertising and packages in consultation and cooperation with the industry partners. Research and coordinate applications for tourism grants on behalf of the Clarington Tourism Marketing Board and Tourism Clarington. Ann Harley reported that Oshawa Art Association Studio tour is May S and 6 and the show at the lake will be July 7&8. Volunteers Motion by Theresa, seconded by Steve Lawrence and voted by all to nominate Karen Bastas for the Municipal Volunteer award for the many years of service she has voluntarily given to this community. 7. CIP Report: The most current meeting is Thursday April 26th at 7:00 pm in the Newcastle Community Hall Council Chambers. The Students will present their report of their completed study of the main street. All welcome and there will be refreshments. 8. Horticultural Society Report: Jeanie Barrett reported that she is continuing to photograph the progress of the landscaping.They have reached their funding for this stage, but will still be looking for funding for the benches, arbours and trash receptacles. They netted $11,000 from Hotel California. They will have their annual daffodil lunch on the 18t`. All welcome, cost is $12.00. It will be possible to sponsor the benches - the price for such sponsorship to be determined. 9. Next Meeting May 10, 2012 at 9:30a.m. 10. Meeting Adjourned motioned by A. Harley, Seconded by C.
