HomeMy WebLinkAbout2011-10-18 Minutes BOARD OF MANAGEMENT BOWMANVILLE BUSMESS IMPROVEMENT AREA Minutes of a regular meeting of the Board of Management held at 6:30P. m. on Tuesday, October 18, 2011 at Bella Donna's Coffee Shop. Present: Gilpin, (Rick) Patterson Members: Lucas, Holmes, Hooper, Seaton, Johnston, Barr Absent: Mulder The meeting was called to order by the Chairman, who then recognized Rick Patterson as Mulder's substitute at the meeting. Moved by Hooper, seconded by Holmes, THAT the Minutes of the previous meeting be adopted as circulated. "C_,FR D" The correspondence received since the last meeting was not available. The Treasurer presented his report as follows: Current Account $ 4,283.00 Money Market Fund #1 20,000.00 Money Market Fund #2 5,373.00 Total $ 29,656.00 Moved by Hooper, seconded by Seaton, THAT the Treasurer's Report be adopted as presented. "CAIRFED" Page 2 Reports: Council Liaison: No report. Events: Lucas reported for Mulder that the Apple Festival and Craft Sale was a success in spite of the windy wet weather. Membership Relations: No report. Streetscape: Gilpin reported for Johnston that the hanging flower baskets have been removed. Hooper observed that the lamp post banners should also be taken down, Communications: Holmes reported that the September Newsletter and the current issue of the Bowmanville Downtowner had been delivered to the members. Publications: No report. Board of Trade: No report. Website: No report. Under `BUSINESS ARISING" from the previous meeting, Hooper reported that the Website up-dates were still a work in progress. He went on to note that the parking lot metering device was yet to be re-activated as it was still missing a part. It was decided by consensus that the Christmas issue of the Bowmanville Downtowner would be an inclusion in the Clarington Promoter.ca, and not a insertion, at the usual cost. The Downtowner will show photos of previous Moonlight Magic events on the front page, instead of the usual write-up about the coming Moonlight Magic evening. Gilpin outlined the steps he went through to secure funding and to order the new downtown lamp post lighting from Classic Displays. He further stated that Classic Displays could not guarantee the lights would be up in time for Page 3 the Santa Claus Parade. The placement of LED lights in the trees in the Downtown was again revisited and Hooper volunteered to investigate the purchase of these Christmas lights from Canadian Tire. The question of who would install them was not resolved. Under "NEW BUSINESS", Gilpin outlined a proposal to secure rental space for the Bowmanville BINs assets within the Downtown. Moved by Seaton, seconded by Patterson. THAT storage of the BINs assets be relocated to the rear of 22 King Street West beginning in 2012 for the same cost as that paid to Baseline Storage in 2011. "CARRIED" Gilpin then volunteered to relinquish his position as General Manager, turning this role over to Rick Patterson and his wife, Barbara. Moved by Holmes, seconded by Barry, THAT Rick Patterson, assisted by his wife, Barbara, be hired as General Manager, effective January 1, 2012 with the duties and responsibilities as outlined in the General Manager's job description, and be awarded the current annual expense allowance for their services. "CARRIED" Seaton reported that the "What a Girl Wants" evening, to be held on Wednesday, November 16, from 5 until 10 p. m., had 26 businesses involved. Next it was reported that the "Ride for our Troops" organization wishes to return to Bowmanville in 2012. Concern was expressed as to their expectations regarding the funding involved, noting that the Bowmanville BIA's budget was not able to accommodate this added cost. They anticipate at total of 7,500 riders on the day. Page 4 Gilpin reported that he had been contacted by the Municipality of Clarington's Tourism Department regarding advertising in the Clarington Visitors' Guide for 2012. A full-page colour advertisement would be the same cost as last year, $1,095. This includes the basic listing, an enhanced listing, the logo and a write-up. Each year, 80,000 copies of the Guide are distributed along the 401 corridor, in addition to other selected sites. It was agreed by consensus that with these added benefits, that this should be approved.
