Attendance: V.Lovekin, K.Bastas, G.Robinson, B.Metcalf, D.Hickson, L.Forget, S.Lawrence, G.Lewis, J.Foxall, G.Gallacher, J.Black Regrets: T.Fitzgerald, J.Summers, T.Vanhaverbeke, J.Kimball, J.Clapperton I. Call to order at 9:40 a.m. 2. Minutes from the September meeting: Moved:S.Lawrence Seconded:G.Lewis CARRIED 3. Business Arising from the Minutes: Will forward any decision from Orono concerning the West End Development funds by email to the members before the next meeting; if none then it will go to Council for a decision. Rekkers is confirmed for 2009 street flowers. All budgets will be presented/discussed at the Nov. meeting. 4. Treasurer's Report: Balance: $26,515.36 Cheques were issued for boulevard signs and sympathy flowers sent to Mary Wilson and family. f } The annual levy request is due by the end of Feb. 2009. Budget will be voted at the annual BIA meeting in January. Motion to Accept: D.Hickson Seconded: S.Lawrence CARRIED The cost of the street wreaths is $13, 902.00. Motion: G.Lewis Seconded: D.Hickson : The BIA apply to the Town for an interest free loan for 75% of the cost to be paid back over a 3 year time period or less. CARRIED 4. Committee Reports: Urban Planning: Banners/wreaths/flags will be on every other post and they will be maintained and moved by the company. Motion to Accept the Banner/Flag Committee Decision: D.Hickson Seconded: G.Lewis CARRIED The committee was thanked for all their efforts. Advertising: Todd is further investigating advertising in the Toronto Star. Fall Festival was featured in the `Gates Open' - `Savour Durham Tour' brochure. Boulevard signs will again be used to advertise Nov. events of {` } Santa Claus Parade and Breakfast with Santa. Special Events: K.Bastas Fall Festival and Rec. Centre Opening. The midway raised $1200. 202 tickets were sold for the dance. Over $1000 was raised at the dance for charity. A donation will be given to Guide Dogs and Terry Fox. Running Maniacs raised $4000 for the Guide Dogs. Karen, her committee and volunteers were thanked for all their work. Money remaining will be returned to BIA. Letters of thanks will be sent to sponsors and prize donators. Lindvest, OPG and Barr's Roofing donated substantial amounts. Many local businesses donated prizes and/or their time to make the event such a great success. There will be no tree lighting ceremony this year as the hall is unavailable. No downtown Moonlight Madness. Businesses are welcome to do their own individual one. There will be a Breakfast with Santa on Sat. Nov. 28t" 8-11 a.m. Tickets at Massey House and Curves. Santa Claus Parade: Sunday, Nov. 23rd at 5:30 p.m. Action Plan was submitted for the parade. It is covered under the BU insurance and has received a $2500 from Council. Letters showing permits for road closures, location, fireworks, etc. must be received by the BIA before the parade. Motion to Approve the Parade Action Plan: G.Lewis Seconded: G.Gallacher CARRIED 5. Councillor Robinson: A letter will be sent from the BIA to the Town, through G. Robinson, requesting the purchase of more downtown parking space. It would be beneficial as we forsee an expansion of the area and the need for increased parking. Motion to send letter: K.Bastas Seconded: D.Hickson CARRIED 6. Chamber News: D. Hickson Networking at `A Gift of Art' on Mon. Oct.27th 5:50-7:30 p.m. Annual Meeting is in January. 7. Annual BIA Meeting: Monday, January 19, 2009 at Massey House. Motion: B.Metcalf Seconded:J.Foxall: To invite up to two persons per BIA business for a complimentary dinner. CARRIED 8. Next Meeting: Thurs.Nov.13 at 9:30 a.m. ? 9.
