HomeMy WebLinkAbout2007-11-08 Minutes Newcastle DBIA Meeting —Thursday, November 8, 2007 �T Newcastle Historical Room 10:00 a.m. Present: Dwight Hickson, Lorraine Forget, Martha & Mark Hendrikx, Karen Bastas, Valentine Lovekin, Anthony Turnball, Brenda Metcalf, Tenzin Gyaltsan, Councillor Gard Robinson Regrets: Jane Black, Jay Summers, John Albi, Joan Kimball Chair Valentine called the meeting to order and the minutes of the October meeting were approved on motion by K.Bastas, seconded by A.Turnball. CARRIED A financial report was distributed showing equity of$13,001.27. Reports: Downtown Safety_&„06cor: AnthonyTurnball & Tenzin Gyaltsan Discussion was held re: Christmas lights and garlands. D.Hickson moved and K.Bastas seconded that Heart to Heart supply the garlands this year as per the rotation. CARRIED. T.Gyaltsan moved that we budget this expenditure at $350. Seconded by K.Bastas. CARRIED. The decision was made to have lights on the hall and the tree. Gord will ask the Hall Board for approval to place lights on the hall. Moore Electric will install them next week. The motion was made to offer Amos Langley $400, per month (a $100. increase) to extend the sidewalk snow removal to Arthur Street. Motion by D.Hlckson. Seconded:A.Turnball. CARRIED. Tenzin will write a letter to Amos. Rona supplies the salt & sand and bills the BIA accordingly. More flower baskets will be discussed when lamp posts and brackets are installed to the east end of the BIA boundaries. When looking at the West End Development money consideration needs to be made to the fact that Newcastle BIA's tax levy in 2007 was $21,500. Orono's was $6000. Advertising: Dwight Hickson A flyer will be sent out advertising the Tree Lighting — Nov 23, Breakfast with Santa — Nov. 24 and Santa Claus Parade— Nov 25. There will also be a %z page ad in the Clarington This Week along with a Thank You ad in December. Advertising in the December issue will be discounted for any who took part in ads in 2007. The next advertising will be Easter 2008. Discussion took place re: Toronto Star advertising. Suggestion was made to place therm in the Saturday issue if we decide to continue with this proposal. 2008 advertising budget will have a bit of an increase. ven s: Karen Bastas Friday, November 2�- Tree°Lighting: Santa will arrive by horse and buggy at 6p,m. Coffee, Hot Chocolate & Timbits provide by Tim Norton's. Photos with Santa $5. Twenty - $5. BIA bucks will be given out and can be redeemed at any business from November 23 to December 1. Sat rda ovem er 24 — Breakfast with Santa Tickets available at Massey House, Village Card & Gift, Steamers, Curves. Adults $5. Kids $3. under 2 free. Serving at the hall from 9 a.m. till noon. Live Kids entertainment. Sunday,_November 25, Sant @_Claus„Parade— Martha Hendrikx reporting. Permits are ready for fireworks and road closing. The closing times will be distributed to all businesses and residents affected. There are over 100 entries so far. Help is needed for marshalling and button sales. Register with Martha by Nov. 16t". Street marshalls will be provided with reflective vests. The BIA banner will be carried at the first of the parade. Rona has been asked to construct the Santa float. The parade committee has a vision for this. Santa on this float only and set up higher so he can be seen and for safety purposes. There is a safety concern about horses drawing this float. Dwight suggested the final pit stop be at Newcastle Public School. The committee will look into this. Mark spoke to a letter that was received by Valentine, addressed to the BIA from the parade committee-- Martha Hendrikx and Joan Kimball. The letter was received and discussion held on improving communication between the BIA and the committee advertising,budget, financial discrepancies in the 2005 and 2006 records. Martha indicated the budget for the parade is approximately $6000. D.Hlckson moved that the BIA ratify the executive decision to sponsor the 2007 Newcastle Santa Claus parade. Seconded-A.Turnball. CARRIED Gord Robinson asked the committee for a list of volunteers so it can be submitted to the Municipality for insurance purposes. The Linen Cupboard, Diva's Den, David Alexander and Village Card & Gift Shop are sponsoring a Men's Night—'November 30th at their stores. Other Busin ss: We have a quote from Bloomfield for the hanging flower baskets for 2008. Tenzin and Anthony will get two other quotes and bring a recommendation forth for the December meeting, Valentine spoke on committee accountability. We need a plan of action whereby the BIA makes comment and sends the committees to put things in place for their events/activities. Action Sheets for the committees could include: 1. Name of Event/Activity 2. Time/Place ( 3. Committee Structure - 4. Budget 5. Financial Commitment from the BIA 6. Municipal Approval 7. Volunteer Requirements 8. Publicity Requirements 9. Profits expected 10.Other We will need to put a Finance Committee in place ASAP. Karen will lay the Remembrance Day wreath for the BIA on November 11th at the cenotaph. Proposed ACM meeting date--January 10, 2008. All unfinished business is tabled until our December meeting. Valentine declared the meeting adjourned. Next Meeting: Thursday, December 13th at 10:00 a.m. in the Historical Room. �y1
