August 11, 2026 - 7:00 p.m.

1. Declarations of Pecuniary Interest – There were no declarations of pecuniary interest.

3. Adoption of Agenda - Motion #26-029 - Moved by Shea-Lea Latchford, seconded by
Councillor Margaret Zwart THAT: The agenda be accepted as presented.

4. New Board Member Introductions
The Chair welcomed new member Terry Meredith after which each board member introduced
themselves. Unfortunately, Adam Rivers was unable to attend. The Chair will follow up with
Adam.
5. Adoption of Minutes – Motion #26-030 – Moved by Sue White, seconded by Shea-Lea
Latchford THAT: The minutes of June 9, 2026, be accepted as presented.

6. Manager’s Report Josh received the Fire Watch log from the Municipality and is developing
a plan for the arena relative to power outages according to O. Reg 213/07. Josh is updating all
safety training procedures for the winter season and will develop an ice-in procedure when
putting in the ice. He is also working on job postings for the Fall Season. Rentals/Revenue:
June and July invoicing complete. Minor lacrosse held the provincials at the arena on July 31st
and August 7th. Fall price changes were given to our bookkeeper to update in QuickBooks and
on the website. The Canadian Tire rink board ad was installed and invoiced.
Repairs/Maintenance: The exterior signage above the front door is complete. Lobby furnaces
are being removed by the Municipality and new furnaces, and heat pumps are in progress with
the installation. Moore Electric installed wiring for the new furnaces and additional lighting in
the lower furnace room. Josh informed the Board the lawn mower needs to be replaced. He
does not require the Board’s permission to replace it.

Other: Parking lot outside the front door was re-graded and repaved to correct water pooling.
CIMCO test/tag, compressor oil changes and condenser service was completed on June 22nd
and 23rd.
7. Financial Report – Todd provided information on expenses vs. profit YTD. The 2025
Municipal audit of finances is complete. Some additional summer revenues have been realized
this season from $95/hour summer floor rates. Upon the installation of the ice on September
21, 2026, ice rental revenues will resume. Todd is reviewing the Elexicon billing as the timing
of the billing is not typical for this time of the year and seems to be late.
8. Risk Management – A walkdown was performed on August 10, 2026, by Joshua Macdonald
and Josh Turner, during which they found a broken door handle from the lobby to the arena.
A work order was sent to the Municipality for repair/replacement. No other new issues were
found at this time.
9. Business Arising from Previous Minutes
a) External Signage – Josh reported to the Board that a sign permit was submitted for
approval prior to the installation of the signage. Josh will speak with James Printing and
ask for assistance in competing the permit details. Motion #26-031 - Moved by Shea-Lea
Latcford, seconded by Jim Vinson THAT: In the absence of alternative funding, the Board
approves up to $8,000 for the new signage.
b) Arena Connectivity Improvements - Mark reported that Durham Onenet has installed
inground boxes adjacent to the arena in preparation of cabling to the arena. The municipal
IT department will arrange for a walk down of the building with their low voltage wiring
contactor. We should receive an equipment quote and a bill of materials shortly. Josh will
issue an electrical support service request to the MOC.
c) Policy/Procedures Updates & Approvals – The Chair reported he has no new procedural
updates at this time. We will revisit this item in our September meeting.
There being no further business to discuss, the Chair adjourned the meeting at 8:35 P.M.
