Minutes of meeting hold Monday, Oct. 2.6 and of special meeting
Thursday, Nov. 12. /8l
Regular Hall Board meeting on Oct. 26 with F. Couch, Brenton Rickard,
Lorraine Lover, Narda Hoogzamp, Council Representatives, Councillor
Diane Haxnre and Mayor Rickard, present.
A group from the Historical Society (.VIalton-, P.r.lacdonnel, L.Lovekin
and K.Barr) was giventhe floor first. Mrs. tIaedonnel acted as spokes-
man for the group and explained they were seeking space at the Hall in
which to store any artifacts which may be donated to their organization.
It is their intention, should sufficient space be found, to display
these artifacts to the public from time to time. A few suggestions
were: Camera Room; part of the basement room the. Scouts use; cupboards -
off the Lions' Room and, the old storage bin off the north furnaces.
These suggestions were inspected by the Historical Group. It was
finally decided the Board would decide on suitable acommodations, with-
out infringing on other groups, using the Hall facilities, and will
notify the Society of this decision.

After Brenton had welcomed Diane and Garnet to the meeting the minutes'
of the last meeting were discudsed. Council ,representatives vrere asked-
if they had seen a letter from this Board . re. cleaning and servicing
the furnaces. They had not but went on to say Council members had not
known of this practice and' members felt each group should tender for
its own Community Centre where furnaces can be properly checked out.
In fact, there is to,b be a notice in the paper to which interested
tradesmen can tender. Moved by Couch, seconded b Lo'@. r, tliminutes
be adopted as prepared after a slight correction re. Balance
of Grant from Town for 1981. Carried:
Old Business: (1) Fred had examined light on west side and thinks it
can be fixed properly.
Landscaping discussion resulted as follows:

The chairman read the Treasurer's report and Mayor Rickard suggested
there could be a Conflict of Interest since person, subject to item
(supervision- service) is involved in paylnefit•.of same. He suggested
such items be passed individually so as not to create any conflict.
Discussion on this matter pointed out Liquor Regulations require such
supervision and to hire someone to do this would be far too costly.
It was moved by Mayor Rickard., seconded by Councillor Harare, the
following Tresurer's Report be accepted as prepared. Carried:

this application on time.
In order to do this it was moved by Couch, seconded by Iioogkanrm, this
Board have a special meeting Tuesday, Nov. 10, to draw up 1902 Budget
and fill in application, Carried'.. It was also suggested the Hall Board's
fiscal , year end in November for actual accounting.
At this point Councillor Ilan,re had to excuse herself because of another
commitment.
Fred was instructed to have all the Hall's fire extinguishers checked,
It was moved by Mayor Rickard, econdecl by Lover, all billsa,presented
for payment, be paid, Carried!
New easiness: (1) Brenton pointed out that while checking through
the Hall he found an awful lot of rubbish in the
north furnace room, mostly broken chairs: and
1 , wondered about the feasilility of fixing them or
chucking them out. No action was taken.
(2) Mayor flicl arcl questioned why there was no rental
for C.C., bit yet outsiders or profit groups have
to pay? Answer — it is mainly used by local, non—
profit groups.
go (3) Where was some discussion re. space for the
tU Historical Society. Fred suggested the Ladies'
upstairs washroom. He pointed out it was in bad
shape and nee.lecl a lot of repairs.' It would also
be costly to have warm water piped up there. If
more washrooms have to be made available dovrmstairs
extra stools could be placed in the northwest end
or one er.tra off the ticket office in the present
Janitor's supply closet. It was moved by Lover,
seconded by Hoogkamp , Fred secure tenders for
washroom facilities on the main floor. Carried:
The secretary wad instructed to write the Historical Sociejrf, c/o Pat.
Macdonnell,' informing them the decision- for space to store their art—
ifacts will be deckled at our next regular meeting on a motion by Couch,.
seconded by Lover, and Carried;
Fred moved, because he had boon approached by- Mr. Staby, that our
caretaker be given a 10i increase in wages effective Nov,l/i31.

of our rate schedule be increased y?10.00 across the Board and other
rental rates be cliscusded at our next meeting. Carried:

The Budget for 1982. which. is. to. be presented to the Town of Newcastle
was wor4ed at imrzediately., with the result we will be requesting an
$18,000.00 grant for 1982..
In comleating our Rental rate schedule for the coming year it was
decided to change only the Lion' Bingo rental from the eListinc; $50'.0O
to 355.00 for each Biir,o use.
It was moved by Couch, seconded.by deJong, the Town of Newcastle Library
Board be info: ed the 1982 rental fees for the rooms in the Newcastle
Corm unity Hall viill be increased by 6;* over the 1981 fee. Carried:

It was suggested maybe that in future rentals a pop dispenser, ice, etc'.'

of bottles sold at the event.
Our regular meeting will be held Monday, November 23/481 at 7150 p.m.
