Date: Wednesday February 19, 2025

1) Welcome — Introductions for all new visitors
2) Land Acknowledgement - Danielle
3) Approval of the Agenda
Motion to approve the agenda by Dave then seconded by Larry,
Carried
4) Approval of Minutes from January
i. Motion to approve the minutes from January by Greg then
seconded by Jacquie, Carried
5) Presentation from the Municipality regarding the Fully Accessible
Washroom
i. Discussed the project of upgrading the accessibility of the
building, funded by the Newcastle arena's accessibility upgrades.
ii. The project involves creating a universal washroom, which is
designed to accommodate people of any gender and mobility
needs.
iii. The washroom will have automatic lighting, hand dryer, and
emergency call system.
iv. The design was reviewed by the Accessibility Advisory Committee
and received positive feedback. However, there were concerns
about the grab bar's position in relation to the toilet, which was
raised by a community member who has a daughter in a
wheelchair.
v. There will be consultation with the local building official to
determine the latitude for adjustments.
vi. The project needs to be completed by December of the current
year.
vii. The discussion focuses on renovation plans for a community hall,
including changes to washrooms and accessibility features.
viii. The group addresses concerns about snow load on the roof,
emergency exits, and septic capacity.
ix. They plan to add universal washrooms, widen doorways, and
install power operators for accessibility.
x. The renovations will include changes to coat storage and the
addition of a mop sink.
ii.The group also discusses the tender process for hiring contractors and the need to
comply with purchasing bylaws.
iii.They aim to complete the project before December 31st, starting with the most
frequently used areas after the wedding season.
6) Reports
a. Chair and Co -Chair
i. Insurance —we are still working on getting a quote
ii. Looking into different options for websites as ours is
not great. This will be at a large cost but then we
should be able to direct people there!
b. Maintenance
i. Ice Rink is getting lots of use. It has been a great
season so far
ii. The salt is as always a huge issue on the floors.
iii. We will need to look into getting the floor waxed in
the spring. Danielle will start looking into this.
c. Rentals
i. Rental inquires are starting to pick up for the
wedding and Jack and Jill season.
d. Treasurer
i. Savings $2,312.00
ii. Chequing $60,745.19
e. Secretary
f. Events
i. We are looking into new way to post our events using
social media
ii. Movie Night set for the first Friday of the month
iii. St. Patrick's Day Dance, please let us know if you can
help
iv. We are looking into hosting an Easter Egg Hunt
v. We will be posting the upcoming event sin the
washrooms and outside on the board at the front
door.
7) Old Business
i. Cell Tower Installation Concerns Discussed —The
meeting discussion focuses on concerns about a
proposed cell tower installation in the community.
ii. Board members expressed frustration about personal
attacks they has received due to their involvement in
the community center.
iii. The group discusses the lack of transparency in the
process and the need for a public information
meeting.
iv. Information about AGM and what changes the
applications process has been closed at this time and
we will determine our AGM after we hear who has
been approved for the Board of Directors as per new
Bylaws and ONCA— From our understanding we will
have the Board members for our next meeting. At
that meeting we will pick a date for our AGM, the
community has to be told a minimum of 30 days
before the meeting.
