Review and Approval of agenda One additional item for other business Moved by D. Valentine; seconded by R. Thomas Clarington That the agenda for January 9, 2024, be accepted with the following additional item under "other business"- Changers in CABRTF Chair roles Carried 4. Review of draft Nov 25 and Dec 4, 2024 meeting minutes Moved by L. Reyes -Grange; seconded by A. Anderson That the draft minutes from November 25 and Dec 4, 2024, would not be accepted until the following changes were made in the November 25t" minutes: Some members who met with the HR team provided updates to the rest of the CABRTF members about the conversation. They shared that, when they met with the HR team to talk about the HR strategy, the HR asked them for support with contacts/names of organizations where they could share the postings to increase the diversity of the candidates applying. They felt they had more to offer to the HR team with their expertise and skills. Some members recommend that moving forward they would like the minutes sent to the Chair for approval prior to being published. 5. Black Owned Businesses Initiative L. Reyes -Grange shared her interest in bringing forward an initiative for CABRTF to create a directory of Black -owned businesses across Clarington. Members agreed this would help CABRTF collect data and promote and amplify black businesses and the products they are selling. This would allow CABRTF to market the businesses at events such as the Black Vendor Village. Members shared they could work with Clarington Board of Trade (CBOT) and the municipality's Economic Development dept to help collect the data. P. DaSilva shared that CBOT does have regular newsletters that go out to businesses that CABRTF could ask CBOT (and BIA) if they could include a survey for the purpose of collecting the data. There would need to be additional conversations related to where and how this data is stored. CABRTF would need to confirm if CBOT, BIA and Economic Development have the interest and capacity to work on such a project. Members asked if Economic Development would be interested in presenting to CABRTF. P. DaSilva shared that she could reach out to them and ask about their capacity. Clarftwn 6. Microsoft List -Tracking Work Plans R. Thomas shared the details of the discussion that was had with P. DaSilva on finding different ways to capture workplans and action items for both CABRTF and CDAC. There was thought that the committee and sub -committee could use Microsoft List to track action plans but MS List only works within organizations. R DaSilva was not able to share the list externally outside of the municipality. P. DaSilva suggested that CABRTF members could look at Monday.com and see if that would work. R. Thomas confirmed that Monday.com has a fee attached to it. P. DaSilva suggested that the workplan could be saved in onedrive in an excel or word document and then shared with CABRTF members. The members would have the capacity to make comments and track updates. 7. Review Key Messages Document H. Mire shared that a key messages document had been created by H. Mire and shared with Clarington's Communication department to help respond to online racist and hate comments related to Black Vendor Village. The document was also shared with CABRTF and H. Mire requested feedback on the document and put forward a recommendation that something similar be developed for Black History Month. Members stated that the existing document created by H. Mire was extremely thorough and had enough information for the Communication department to create additional key messages in response to any online hate or racist remarks related to Black History Month. H. Black Vendor Village Update R DaSilva provided an update that they had received over 100 vendor applications. The working committee will be narrowing the vendor list to 50 later this week. P. DaSilva also shared that the Region of Durham had requested that staff liaisons forward a formal invite to the diversity, anti -racism and anti -black racism committees to attend their Black History Month event the evening of February 5cn I. Welcoming remarks from CABRTF during opening ceremony of Black Vendor Village R. Thomas agreed to provide the welcoming remarks on behalf of CABRTF during the opening ceremony at the Black Vendor Village. Members asked if the Municipality would be hosting any other Black History Month activities. P. DaSilva stated the main event would be the Black Vendor Village. D. Smith Clarbgton shared that the CLMA would be hosting a series of other public events, and their events that would be advertised to the public shortly. Other Business R. Thomas reminded CABRTF members of the CDAC meeting tomorrow evening where the CAO and Mayor Foster would be guests and encouraged them to all attend. D. Valentine shared that she has made the difficult decision to step down as Chair of the CABRTF effective December 31, 2024, due to time constraints. She will still be part of CABRTF as a member. The members commended and thanked D. Valentine for the work that she did for CABRTF despite D. Valentines busy personal and professional schededule. Moved by D. Valentine; seconded by R. Thomas. That the CABRTF meeting be adjourned at 9:05 pm Carried
