OFFICE SPACE - PUBLIC WORKS AND PLANNING DEPARTMENTS, HAMPTON
RECOMMENDATIONS:
It is respectfully recommended:

1. That this report Abe received; and,
2. That additional office space be rented in the form of an office trailer
for use by Public Works and Planning staff until the new administration
centre is ready for occupancy; and,
3. That the cost of renting the temporary office space be charged to the
Administrative Improvement Reserve Fund Account.

REPORT:
The inadequacy of the office space in the Hampton Municipal Office to
accommodate the Public Works Department and the Planning Department which
includes the Building section, has been obvious for some time. Recently,
additional staff have been acquired in both departments to accommodate the
growing work load due to development and to handle newly assumed
responsibilities (i.e. field inspection of service installations and road
construction in new subdivisions, etc.), further reducing available work
space. Subsequently, additional space is required in close proximity to
files, resource documents and staff at the Hampton Office.
It is felt that a construction office trailer would be a suitable temporary
solution to providing more acceptable working conditions until the new
administrative centre is ready for occupancy.
The cost of renting a trailer 10'x52' is $390.00 per month, plus tax, plus a
moving charge of $200.00. Since the arrangements required are basically
that of temporary office space until the completion of the new
administration centre, it is staff's recommendation that the cost be charged
to the Administrative Improvement Reserve Fund. Some contribution [nay be
possible from the developer's engineering fees,'if required.

With reference to our recent conversations, please find attached a list
of office space currently available in Bowmanville.
With reference to the leasing of trailers, I have received price quotations
from the following:
Miller Office Trailers Option 1. 54' x 10' used $ 325.00 /month
Mississauga, Ontario no new available
Option 2. 60' x 12' used $ 550.00 /month
60' x 12' new $ 650:00 /month
There is no delivery charge for trailers from Miller if lease is for 1 year.
Atco Industries Ltd. Option 1. 52' x 10' $ 390.00 /month /
Richmond Hill, Ontario Delivery $ 200.00
Ruston Mobile Offices
Burlington, Ontario
Option 2. 52' x 20' (consists of 2 10' trailers
put together)
Delivery $ 400.00
Installation $2700.00 (approx.)
Tear down -would be quoted at completion
of contract

I have attached floor plans-from both Miller Off tce Trailers and Atco:Industries.
Should it be decided to lease a trailer rather than office space, I would suggest
that.a visit be.made to the showroom to view the models available and to deter-
mine our exact requirements.

I have been advised that 52' x 10' trailer would comfortably hold 7 to 8
people.
