Round Table Discussion 10.In Camera session Next Board Meeting, Tuesday March 12th Newcastle Memorial Arena Managers Report Date: February 7, 2024 No on ice incidents and no off ice incidents - First Aid Training for all staff that still need it. Have we figured out a date or what we need to do? Safety On ice incidents - Defib Training for all staff members y Off ice incidents Employee Safety/Concerns - There is a list in the office with a bunch of names and Safety Training contact information for emergencies. The list also has Emergency Preparedness companies that we can contact if something goes wrong in a certain area Risk Management g - Completed the January Fire equipment monthly - reported in red book Concerns Items Completed AED weekly and monthly reports completed pothole near the main entrance of the arena - could be a tripping hazard - needs to be filled in monthly walk around checklist completed - coaches crossing ice still - home and away teams - We get new rentals every week and we seem to be getting more and more each week - March break is not that full, if it stays that way is everyone New Rentals fine with adding some public skates on certain days to fill in Rentals/Revenue Loss of Rentals some slots? Later Payments Signs/Advertising - Website is updated with all rentals and posted on facebook Vending - CatchCorner - I'll go in depth during meeting - Stick and puck schedule was made - I can get the schedule put up on the website and facebook - start date can be whenever What has / needs to be Repaired: Need a new motor / pump for hot water tank in office heating in lobby - need emergency exit signs on back doors Repairs - dressing room #1 door Maintenance What has to be repaired - lights going in the mens and womens bathroom What needs to be repaired - south west rink emergency exit door Renovations Snow/Ice Maintenance - Advantage Flooring - they are changing all the tiles that got Preventive Maintenance oxidized during installation. Manhole cover in room #6 getting Efforts to Maintain fixed as well. Appearance - covers for lights in rink to go on Renovations Improvements What got fixed: - Office door got new door handles - we can now lock and unlock office - Welmar fixed back gate white panel - Municipality of Clarington fixed the mini boards so that they fit across the ice for half ice games - stairwell door (west) lock fixed - keys work now - Rivett did daily fixings and touch ups of olympia room overhead doors - Chris Gerrits looked at leak in the hallway - looked outside - patched some things up *if it leaks again, let him know* - counter top in mens washroom fixed - light in hallway fixed - Fuse in compressor room blew when i was gone causing some ice maintenance problems - 1 or 2 teams weren't Repairs allowed to practice - staff phoned Jason and cimco - everything is fixed now - slab temp recordings to be made Maintenance every reading now Renovations Snow / ice maintenance: - phone call about west walkway - talked to staff about it - salting and snow removal to be done hourly (Staff thought we had someone else still doing that back walkway) - daily checks on stuff to make sure everything is maintained - Had our monthly staff meeting - went over things to do when I was on vacation - went over things to improve on for the rest of year - just a reminder of things to get done on a daily basis Staff staff hoodies and hats came in told staff to put hours in after every shift instead of doing on the last day before payroll - did a very good job when i was away - dealt with a very serious emergency quickly and efficiently Inspections - Well Done Pest Control did their daily inspection Municipal TSSA / other Regulatory - No other inspections that I know of Operations Inspections must be reviewed with Arena Board - one minor complaint about the west sidewalk being very icy and very hard to walk on - talked with staff about this to stay Neighbours on top of salting and snow removal - salt a day before the Complaints Customers snow comes and shovel snow hourly - complaint about the refs room being too small and that it could be a building code violation - refs aren't happy with the space - Register for courses - they will send out an invoice for the price we have to pay. Once payment is received I can New Guidelines etc participate in each clinic ORFA Updates appropriate for our facility / operations square machine for debit / credit New floor machine? Need more information about it? - Cimco will still be doing weekly plant inspections until I get OTHER certifications - Ice out date!? - still aiming for April 8th? - we are getting bookings for lacrosse and ball hockey (April 20th weekend) - we need to clean the floor a lot before then and we also need to paint the floor both lacrosse and hockey - Am I painting the floor or professionally done? - still need to check with jason about blades and blade Risk Management sharpening previous Risk Management - daily checklists done Follow Up Items - filling out all books for daily things being done and anything that got fixed - Fire Safety Plan is getting finished up and they will send it to us when it is complete - Tim said he will send me stuff for the new layout of the building and he dropped of a 2023 green book Fire Extinguishers to place around the rink Risk Management I bought fire signs for the back 2 doors because it was Open Items taking so long - I can put them up or if you want to wait for someone else to do it I can wait CATCHCORNER: High Level Summary • We have a large and active community of athletes and organizations looking for available sports rentals in their area. We partner with over 500 locations across 13 major metro areas in North America to connect our community, of over 250,000 people, with their available rentals. In just the greater Toronto metro area we're partnering with over 100 locations including: Tribute Communities Centre, Canlan Sports, Ford Performance Centre, and the Durham Sportsplex. • Here's a video showing you how this works: https:Hvimeo.com/310992317 • As a note, availability is the same across the board. Most of our partners don't have prime time availability, we mostly focus on referring non -prime / transition month rentals. • Every rental comes through as a request that you can accept or decline. You can set whatever parameters you'd like around your availability (how much lead time you need for a new customer or how far out into the future someone can request to book) • When you receive the rental request, it will already include a signed liability waiver, guarantee of payment, and customer information (name, email, phone, purpose of rental, etc.). Accepting the rental is as easy as replying yes to a text/email, you can also reach out to the customer to vet them, or decline the rental. • Monday of every week, we'll send you an itemized sales report (example attached) and send you a direct deposit with the total amount due to you for the previous week's rentals. To process payments we use Stripe, a level-1 PCI compliant payment processor. We use them to ensure security of customer financial information and guarantee the payment to you. When a booking request is made, Stripe places a hold on the customer's payment method, when you accept the booking Stripe charges their payment method. While we don't take a commission on the rentals we help generate, Stripe does charge a credit processing fee of 2.9% and $.47 on the transaction, we can always offset this to the customer if you'd like. • Overall, we're extending a full 12-months for your team to try this out and see the impact on your open bookings.
