HomeMy WebLinkAbout04-25-2023ORONO DBIA APRIL 2023 Minutes April 25, 2023 @ 8:00 A.M. at Buttercup Hollow Present: Gavin Crabb, Julie Cashin-Oster, Frank Maitland, Scott Story Rick Ravary, Tammy Rendell, Diana Stephenson, Yvonne Maitland Also Present: Gavin Crabb called the meeting to order at 8:00 AM Declaration of Pecuniary Interest The Municipality of Clarington is situated within the traditional and treaty territory of the Mississaugas and Chippewas (chip-uh-WUH) of the Anishinabeg (uh- NISH-in-NAH-bek) known today as the Williams Treaties First Nations. Our work on these lands acknowledges their resilience and their longstanding contributions to the area now known as the Municipality of Clarington. Subject — Executive Meeting Discussed 1. — Gail Williamson has asked if the horticulture will be planting the stone boxes on the west side of the street. The BIA is in the process of replacing them with new boxes, so no flowers this summer. Gail has been advised. 2. - Rick Ravary has advised the planter boxes for the railing will be cedar and approx.. 4 feet long/ 2 feet wide/ and 8-10 inches deep. 8 units. Boxes to be place on both sides of the railing. **Scott Story to advise Rick Ravary re: liners so that he can start building the boxes. It is felt that it would be nice to have flowers visible from the road and the sidewalk. Second option was 8 feet long and one side. Garden Path to plant both hanging baskets and railing baskets. 3. — As a group we would like to have another meeting in regard to the banners and also to confirm that the Heritage picture is to be put back in. This is to be discussed next meeting.++ Please add to agenda for May. Wait on ordering banners. ***4. - It has been requested by Aimie Harris to purchase the stone planter boxes and donate $100.00 to the BIA. Tammy confirmed she did not want them. It was a customer request. To speak with Marg Zwart, councillor, to confirm that the municipality does not want them back. ***5. — the OCC has requested insurance coverage and confirmation that both events are sponsored by the ODBIA. There is much interest and enthusiasm to plan and bring events back to life in Orono. Our past history of community support and involvement in events has been well received and very successful. As a result we have some financial resources we are eager to reinvest in the community. The current membership has agreed that a celebration of Orono's'Buttercup Hollow' Park's 100th year anniversary would be advantageous to bring tourism to Orono. It is our intention to promote this event as an Orono DBIA initiative with all advertising indicating such. Having worked together on events prior to this, we understand that Clarington requires the DBIA to submit the permit required to use the park and confirmation of insurance. The OCC is prepared to complete all forms and meet all of Clarington's requirements. Our plan outline for the date of Saturday August 19, 2023 includes events such as; - exclusive use of the park for the day including the baseball diamond, batting cages, picnic shelter, playground, splash pad, lawns, bathroom facilities and use of the pool - our idea is to have a family picnic day recreating the atmosphere of 1923 ie: sack races, make a boat and float it down the creek, a baseball game, face painting, just to name a few - other ideas we are developing include a roaring 20's fashion show and having period cars on display AND a horse drawn carriage ride through downtown highlighting historical points of interest with a focus on current day downtown businesses - in addition to promoting use of the downtown shops and restaurants, we are considering involving local community based organizations such as the Orono Firefighters, the Horticultural Society, the Historical Society among others We seek your support of the proposed event in an effort to highlight everything Orono has to offer and that it truly is The Place to Be. Specifically, we need confirmation the DBIA's insurance policy will cover an event that is not exclusive to downtown and if a separate rider is required, the OCC would like to know the cost of that expense. The OCC requests the immediacy of your reply as the August 19 date is currently on hold with the Municipality pending the DBIA's response. Further, August 19 is not too far in the future and in order for this event to be successful, we must start our work now! To: Gavin Crabb <chair@oronodbia.com> Hi Gavin, We are planning a community clean-up on Saturday May 6. Prior clean-up events have been hugely successful and well attended. Perhaps the downtown businesses want to participate in addition to supporting our event? Here are the details : WHEN: Saturday May 6, 2023 8 - 11 am WHERE: Pick up bags and gloves at the north trailhead of the Sidney B Rutherford Woods Walk on Main Street at Mill AND at the Orono Horticultural Society's Annual Plant sale on Winter Road (address to follow). Prior to the event, eager beavers can pick up bags and gloves from my house at 5 Mill Street if they want to organize a separate clean-up event on a different day or at a different time WHO: Organized by Orono's Community Collective in partnership with the Municipality of Clarington, Orono DBIA, the Orono Horticultural Society and the Orono Masons WHAT: Gather your friends, family and neighbours to help beautify and GREEN UP Orono! Choose a location that you would like to clean up. Get your supplies either before or on event day. Drop off collected garbage and recyclables at the north trailhead of the Sidney B Rutherford Woods Walk on Saturday May 6 ONLY. If items need to be picked up from any other locations and/or on any day other than Saturday May 6 contact the Operations Department of the Municipality of Clarington to arrange pick-up. They can be reached at operations@clarington.net or call 905 623 3379 BONUS!!! High school students can earn community service hours!!!! They will need to check -in and out on event day to obtain their completion certificates Julie will soon be writing an article to promote the event and Timothy will be updating our social media sites. I will make up posters to hang around downtown and around town ie: post office, library, shops etc. Please share with the executive and give your support by email reply.
