HomeMy WebLinkAboutCS-41-89TOWN OF NEWCASTLE REPORT File #16 r _ Res. # By -Law # MEETING: GENERAL PURPOSE AND ADMINISTRATION DATE: NOVEMBER 6, 1989 REPORT #: CS -41 -89 FILE #: SUB,ECT: SKATE '88 AND ROTARY CLUB SPORTS DINNER RECOMMENDATIONS: It is respectfully recommended that the General Purpose & Administration Committee recommend to Council the following:- 1. That Report No. CS -42 -89 be received; and 2. That Council authorize staff, upon complete payment by the Rotary Club to reinburse the rental fees amounting to $1238.00 for the Skate 188 & Rotary Club Sports Dinner held on September 9, 1989 to the Skate 188 Fund; and 3. That the Rotary Club and Skate 188 be advised of Council's direction. 1.0 BACKGROUND: 1.1 The Department of Community Services received a letter dated October 16, 1989 from Mr. Don Welsh of the Rotary Club of Bowmanville requesting reinbursement of fees associated with their rental at the Bowmanville Recreation Complex on September 9, 1989. Schedule I of this report provides a copy of Mr. Welsh's letter. 1.2 The particulars of the September 9th rental involved a Dinner where Skate 188 thanked all donors to the Complex as well as unveiled the donor plaque now mounted in the Concourse area of the facility. A free skate for the entire community was also held on the ice surface with Bobby Orr in attendance. .../2 9 14 REPORT NO. CS -41 -89 - 2 - NOVEMBER 6, 1989 2.0 COST BREAKDOWN OF RENTAL: 2.1 Although Mr. Welsh mentions a cost of $1,438.00 for the rental in review of the invoices there is an actual charge of $1,238.00 associated with the September 9th rental as broken down below: Ice Rental 1 1/2 hours @ $63.00 /hour $ 94.50 Hall Rental Full Area @ $425.00 /day $425.00 Bar Supplies 375 people @ $1.50 /person $562.50 Barkeepers 2 barkeepers for 6 hours $156.00 TOTAL RENTAL .......................... $1,238.00 3.0 STAFF COMMENTS: 3.1 As mentioned in Mr. Welsh's letter, the Rotary Club's request is to provide a donation to Skate 188. To meet the intent of this request, staff recommend that the Town submit the money received from the Rotary Club directly to the Skate 188 fund. This would mean that upon final payment of invoices from the Rotary Club ($238.00 is still outstanding) staff would, in turn, submit equal payment of $1238.00 to the Skate 188 account. 3.2 This action would meet the Rotary Club's request in order to meet their commitments to Skate 188. However, it would also recognize the actual donation of services and fees from the municipality for this worthwhile cause. Respectfully submitted, Jose P. L1C 3A6 Dear Mr. Caruana: pp @@ P TOWN OF NEWCASTLE i3O pj,,n a Ily Sorvii�,cs Dept, The Bowmanville Rotary Club has now received the final invoices in the amount of $1,438 for the rental of the Bowmanville Recreational Complex on September 9th. Through your department I, as President when this project was initiated, am requesting that the fees for this day be waived. There are a number of reasons for this request. As you know, the Rotary Club pledged $35,000. for the complex and all of the money from the dinner will go towards this commitment. The event did allow Skate '88 to thank all the donors and unveil the very impressive plaque. It also gave the Town the opportunity to express their thanks to those that worked on the fundraising for the complex. These very briefly are reasons for this request on behalf of the Bowmanville Rotary Club.
