Meeting called to order at 9:OOam 2. Approval of September minutes Motion by: Jane Black Seconded by: Angela Booth Carried 3. Business Arising from Minutes: Valentine has sent an email to the Municipality to inquire about the quorum numbers for BIA meetings. Currently we don't have a set number for quorum, we want to encourage the fullest participation and don't want to be restricted to a number attending. Every business is welcome. 4. Treasurer's Report The current bank balance is $81,635.94. BIA Budget Meeting will be November 3rd, 2022 at 12:00 noon, in the Town Hall. Bring your own lunch. Everyone welcome. Theresa will get the reports from Sue for the meeting. 5. Special Events Safety and Decor: Troy is getting us a quote for the 2023 snow removal. The banners have been taken down and the Legion has put up their Remembrance day banners. The winter snowflakes will be going up prior to the Community Hall lighting. Thank you Pat for the Fall flowers and she has confirmed she will do the Holiday planters. It is time to replace the current banners. We are looking at 100 year Community Hall celebration banners. Theresa will arrange with James Printing. Harvest Festival: -Congratulations for a successful year. -Good weather was a positive contributing factor -The committee needs more support in the planning phase. There was a lot of volunteers on the day. -Children's Colouring was a surprise success with 87 children participating. -The event was also successful for the number of people who remained in town after enjoying the fall festival activities. -The event garnered praise from Durham's Regional Chair and CEO John Henry, who hopes to attend in 2023. Community Hall Lighting -The committee is working on obtaining permits. -A few vendors expressed interest in the event. Santa Breakfast -Nothing to report Santa Parade -Newcastle's parade is going forward. -Oshawa cancelled its 2022 Christmas Parade -Bowmanville's parade plans are under review and may also be cancelled. 6. CBOT No report 7. Chamber -On Wednesday, there was a debate among candidates for Durham's Regional Chair and CEO. The debate was covered by Rogers Cable for broadcast in the near future. 8. CIP -No news 9. New Business Jake reported the following: Soft launch of Lakeshore Cider, scheduled for January 2023. • He will be a liaison with the Clarington Tourism Board • There will be a marketing campaign for each town in Clarington. He encouraged a coordinated campaign for Newcastle branding which would include banners, matching store signage and town -branded T shirts, sweat shirts and possibly other items. • He reminded the BIA that Newcastle is poised to double in size and the local businesses can either be a part of the change or be left behind. Valentine observed the removal of the Queen's portrait from the BIA's meeting room. It has been relocated downstairs and a photograph of the community hall is hanging in its place. The attendees unanimously supported a letter to be sent to the Hall Board to request that an official portrait of King Charles III be installed in place of the Queen's portrait. 10. Motion to Adjourn: Moved by: Doug Sirrs Seconded: Cheryl Ricker Carried Draft letter to: Newcastle Village Community Hall Board Newcastle Community Hall 20 King Ave W, Newcastle, ON L1 B 1 H7 Attention: Gabrielle Bell Dear Members of the Board, I write to you as Chair and on behalf of the Downtown Newcastle Business Improvement Association ("Newcastle BIA"). The Newcastle BIA held its monthly meeting in the former Council Chamber of the Community Hall and conspicuous in its absence was the portrait of the Queen, which adorned the West Wall of that room. In its place was a photograph of the Community Hall. While we understand that the portrait was relocated, we do petition you to ensure that the Community Hall Board acquires and installs an official portrait of King Charles III as soon as is reasonable.
