It is respectfully recommended that the General Purpose and Administration Committee recommend
to Council the following:
1. THAT Report CS -32 -94 be received for information;
1.0 BACKGROUND:
1.1 The Community Services Department provided local community organizations a fund raising
opportunity through the Community Yard Sale event held on the Arena floor of the
Bowmanville Recreation Complex. This event was planned in co- operation with Public
Works, Region of Durham Works Department the Salvation Army and Brown Ferris
Industries.
1.2 Representatives from Public Works, Region of Durham and Community Services worked
together to plan and develop the timing and structure of the event since the first meeting in
March.
2.0 EVENT:
2.1 On Saturday, June 18, 1994 the first ever Municipality of Clarington Community Yard Sale
took place as scheduled. There were 14 separate community organizations registered to
participate between the hours of 10:00 a.m. until 4:00 p.m. at a cost of $20.00 each. During
the six hour event, all vendors felt the day ran well, especially the very busy morning session.

2.2 Staff felt that due to the fact that this was a first time event a survey form should be
prepared Attachment 1 and made available to everyone so that any future events,
similar to this one, can be properly evaluated. A summary of the completed survey
forms (Attachment 2) indicate the following:
(1) Of the survey respondents, 53% were buyers and 40% were vendors;
(2) 44% of the respondents felt we should open up the yard sale to
individual (private) residents to sell items while 37% felt the event
should remain a community organization only event; and,
(3) When asked if the event met their expectations, 51% said no (with
the primary reason being not enough vendors) and 39% said the
event did meet their expectations. The most important question on
the survey - ( #6 Would you come back again next year) had a
tremendous response with 83% saying yes. This shows the positive
response and the growth potential that this event has.
3.0 RECOMMENDATIONS:
3.1 The Community Services Department staff, in planning for this event in 1995, are considering
the following changes to the original format:
i) The event should take place mid to late May and not June;
ii) The time of the event should be earlier in the day from 8:00 a.m.
until 1:00 p.m.;
iii) The event should take place prior to municipal clean up week (eg.
preceding Saturday) so that residents don't throw out potential sale
items;
iv) That staff advertise the event in the Community Activity Guide well
in advance of the actual date to obtain maximum publicity in addition
to posters and press releases; and,
v) Two registrations take place so that if not enough community
organizations register to participate then individual (private) residents
can register to fill up the available space.
4.0 SUMMARY:
4.1 Staff feel that this years event was a success. Although the number of vendors at the event
was not as high as anticipated, staff are confident that, should the above noted

recommendations be implemented, the Community Yard Sale could become a
significant event in the Municipality.
