Minutes of a meeting of the Newcastle Community Hall Board
held on September 16,2008 at 7 pm in the Council Chambers.
Present Were: P. DeJong(chair)
L. Franssen
C. Abraham
C. Trim

G. Bell(secretary)
Absent Were: B. Snowdon
MINUTES
1.1 Motion by C. Abraham, seconded by S. DeJong
That the minutes of June 2008 meeting be accepted as circulated.

BUSINESS ARISING
2.1 Report received from Director of Operations regarding current work to be done on
hall interior and exterior. (see attached)
2.2 Grass cutting is being monitored.
FINANCIAL REPORT
3.1 Motion by C. Abraham, seconded by G. Robinson
That financial report is accepted as circulated. "Carried"
BILLS
4.1 Motion by C. Abraham, seconded by S. DeJong
That bills for supervision in the amount of$700.00 be paid as presented.
"Carried"
CORRESPONDENCE
5.1 Letter received from client praising S. Fogg,to be filed.
5.2 Information for Trillium Grant received from Horticultural Society.

6.1 Risk Management report received and will be forwarded to Operations Dept.
6.2 Add window wells and remember to compensate for sprinkler system taps.
NEW BUSINESS
7.1 Send"Thank You"note to Horticultural Society
7.2 Invitations to Clarington Blooms awards—P. Dejong to attend.
7.3 Mayors Address—C. Abraham, L. Franssen, G. Bell to attend
Motion by G. Robinson, seconded by S. DeJong
That tickets for Mayor's Address by paid for by Hall Board.

7.4 Board directed G. Bell to work with George Acorn to set up class for
recertification of group that was originally certified for the defibrillator.
7.5 S. DeJong will do close this Saturday.
7.6 Keep carpet cleaning to 2X per year.
7.7 G. Robinson has referred light out in chandeliers to M. Williams of Operations
Dept.
7.8 Secretary to follow up with energy conservation for lights.
7.9 Talk to Municipality about Kaitlin sign being on hall property every weekend.
7.10 Secretary requested board pay for training on Simply Accounting program.
Motion by C.Abraham, seconded by L. Frannsen
That secretary takes training at$35.00/hour for Simply Accounting.

7.11 October 21 meeting to include budget discussions. Meeting will be at 6 pm in the
Auditorium. Swiss Chalet will be ordered for dinner.
