Minutes of a meeting of the Newcastle Community Hall Board
held on November 25,2008 at 7 pm in the Council Chambers.

MINUTES
1.1 Motion by S.DeJong, seconded by L.Franssen
That the minutes of October 22,2008 meeting be accepted as circulated.

BUSINESS ARISING
2.1 Discussed benefit packages from the Municipality and Newcastle Chamber of
Commerce for fulltime personnel.
Motion by G. Robinson, seconded by S.DeJong
That discussion on benefits is continued in camera. "Carried"
Motion by G.Robinson, seconded by S.DeJong
That board come out of camera. "Carried"
2.2 Discussed final draft of budget. Budget has been submitted to Finance Dept included
5 year plan of expenses.
Motion by S. DeJong, seconded by L. Franssen
That budget is accepted as presented. "Carried"
2.3 Motion by S. DeJong, seconded by G.Robinson
That the Newcastle Community Hall commits$1500.00 to the cost of the
architectural plans for the Victorian gardens and patio project to be submitted
to the Trillium Grant process.

2.4 Received for information—Masons CHIP event is $50.00 per person.
2.5 The price on outdoor chairs has gone up to $14.99. Board agreed purchase should
still be made. Board sold 40 of the vinyl chairs for$200.00,this money will be put
towards purchase of outdoor chairs.
2.6 Nothing to report on fans
2.7 Dishwasher has had some repairs to spray nozzle done by P. DeJong and S.DeJong—
thank you. Steve is arranging for maintenance to be done on it as well.
FINANCIAL REPORT
3.1 Motion by S.DeJong, seconded by L. Franssen
That financial report is accepted as circulated. "Carried"
BILLS
4.1 Motion by G.Robinson, seconded by S. DeJong
Those bills in the amount of$350.00 for supervision are paid.

5.1 PAD Newsletter received for information
HEALTH& SAFETY
6.1 Risk Management report received,copy to be sent to Operations Dept.
- carpet needs to be cleaned in auditorium
- another chandelier light is out.
NEW BUSINESS
7.1 S.DeJong will take care of Christmas music. BIA will not be putting lights up on
exterior of hall this year as it is too costly to put them up and take them down.
7.2 Board Christmas dinner will be Dec 16 at New Massey House
7.3 Secretary will have Municipality put ad in paper for new appointments to the board
for Jan 2009.
7.4 Secretary will purchase gift for custodial staff.
7.5 Auction house did get their license for Clarington.
