MUNICIPALITY OF CLARINGTON

Minutes of a meeting of the Newcastle Community Hall Board
held on January 20, 2009 at 7 pm in the Council Chambers.

MINUTES
1.1 Motion by G. Robinson, seconded by S. DeJong
That the minutes of November 25,2008 meeting be accepted as circulated'

BUSINESS ARISING
2.1 Discussed benefits in camera moved by L. Franssen, seconded by S. DeJong

2.2 Motion by L. Franssen, seconded by S. DeJong
That meeting come out of camera "Carried"
2.3 Appointments to the board will be ratified at Council's Monday meeting. Until
then all present members will continue to serve on the board.
2.4 Update on Trillium grant with Horticultural Society—working towards July 1
deadline.
2.5 Thank you to Linda and Rob Franssen for picking up and delivering the outdoor
chairs.
2.6 Another chandelier has gone out—Director of Operations is setting up meeting
with Veridian for us to discuss changing our lights. This chandelier will be
addressed at that time.
FINANCIAL
3.1 Motion by G. Robinson, seconded by S. DeJong

That financial report is accepted as circulated. "Carried"
BILLS
4.1 Motion by L. Franssen, seconded by G. Robinson
That bills supervision totalling$300.00 be paid as presented.

CORRESPONDENCE
5.1 Memberships received for CBOT and Chamber of Commerce.
Motion by S. DeJong, seconded by L. Franssen
That Newcastle Community Hall continues its membership with CBOT and
Chamber of Commerce for 2009. "Carried"
P. DeJong, S. DeJong and G. Bell will attend the AGM for Chamber of
Commerce on January 27, 2008.
NEW BUSINESS
6.1 Discussed 2009 fees for Horticultural Society.
Motion by S. DeJong, seconded by S. DeJong
Those fees for 2009 are waived in exchange for the upkeep of surrounding
gardens. "Carried"
6.2 Discussed 2009 fees for Chamber of Commerce
Motion by S. DeJong, seconded by L. Franssen
Those fees for 2009 are waived in lieu of a donation towards costs.
"Carried"
6.3 Bowling Alley is still leaking; Operations Dept will dig up around the leak this
spring as per Mike Williams.
6.4 Secretary will make up signage for DJ's to not use duct tape on floors
6.5 In camera for employee discussion—motion by L. Franssen, seconded by G.
Robinson. "Carried"
6.6 Motion by L.Franssen, seconded by G. Robinson
That meeting come out of camera "Carried"
6.7 G.Robinson brought up that we need covering on ladies washroom windows.
Secretary will take care of this.

6.8 G. Robinson commented on the great job Glenn Kimbel is doing on sidewalk
clearing. Board agreed to purchase 3 - $10.00 gift certificates from New Massey
House for him.
