HomeMy WebLinkAbout2007-03-20 Minutes MUNICIPALITY OF CLARINGTON NEWCASTLE COMMUNITY HALL BOARD Minutes of a meeting of the Newcastle Community Hall Board held on March 20, 2007 at 6:00 pm in the Council Chambers. Present Were: C. Abraham (chair) L. Franssen S. DeJong P. DeJong G. Robinson (councillor) B. Snowdon Regrets From: C. Trim Ed Majer treasurer of the Lions Group of Newcastle made a presentation on behalf of the Lions Group. He would like to request ad discount on their December 2007 Christmas Party rate—free or 50 % off Their administrative account is struggling with its balance and he feels this would really help them out. It was noted that the Lions rent the auditorium approximately 9 occasions throughout the year, always paying the going rate. The board thanked Ed for his comments and noted they would discuss under New Business. MINUTES 1.1 Motion by P. DeJong, seconded by S. DeJong That the minutes of February 20, 2007 meeting be accepted as circulated. "Carried" NEW BUSINESS 2.1 Defibrillator was discussed—it has been activated today. Lion member John Bigelli has the list of people going for training on March 24. Pete DeJong and Sid DeJong will go for the Board representation. A number of Lion members will also be trained as they often do our bartending. If the Masons wish to send a member a spot will made for them as well. Information on how to take care of the defibrillator will be brought back to next board meeting. S. DeJong noted that handling of fire alarm has changed— G. Robinson will set up having the fire dept speak at a board meeting so we have the correct information. 2.2 S. DeJong reported after speaking with the Swish representative it was agreed the floor polisher we have presently is the best suited for hardwood floors. 2.3 Discussed continued damage to hardwood floors when auction houses rent. Motion by B. Snowdon, seconded by S. DeJong That the new fee for rental by auction house will be $700.00 "Carried" Page 2 2.4 Discussion on limiting who our clients may use as bartenders—it was agreed by the board that we should be looking at offering our clients a choice of board approved bartenders only. Suggestions were Masons, Lions, and High Spirits Bartending Service. The Lions and Masons representatives will put the suggestion to their respective service groups. 2.5 G. Robinson has ordered additional flags through Bev Oda's office. FINANCIAL REPORT 3.1 Motion by S. DeJong, seconded by P.DeJong That the financial report be accepted as circulated. "Carried" BILLS 4.1 Motion by L. Franssen, seconded by G. Robinson Those bills in the amount of$283.81 are paid as presented. "Carried" CORRESPONDENCE/SUPERVISION 5.1 Supervision to April 17 was allocated. 5.2 Secretary presented Rules/Regulations booklet for clients. Motion by B. Snowdon, seconded by P. DeJong That the booklet be set up to be read by clients and signed. "Carried" 5.3 Thank you note received from Brian Terry for fruit basket 5.4 Doctors note from Brian Terry stating return to work duties date undetermined at this time. HEALTH & SAFETY 6.1 Inspection report was not done for February 6.2 Motion by B. Snowdon, seconded by G. Robinson That inspection report is done on a weekly basis for hall records. "Carried" NEW BUSINESS 7.1 Secretary gave report on meeting with Hall Boards held by Director of Operations. 7.2 Motion by G. Robinson, seconded by B. Snowdon That discussions go in camera "Carried" Page 3 7.3 Motion by G. Robinson, seconded by B. Snowdon That discussions come out of camera. "Carried" 7.4 B. Snowdon requested light be fixed in Masons Room, also have wiring checked. It was last requested to be changed in 1942. Refer to Director of Operations. 7.5 B. Snowdon spoke for the Masons; their storage room has been left unlocked a number of times in the past month. They would like to request a change of storage rooms as they have valuables in their room, which is used to access the clock tower. It was agreed the Masons would switch rooms with the secretary's office. 7.6 Secretary will be on vacation March 31 —April 9. 7.7 A gate key was given to Dorella Forget, Gabrielle Bell and Lions Room.
