HomeMy WebLinkAbout2009-11-17 Minutes MUNICIPALITY OF CLARINGTON NEWCASTLE COMMUNITY HALL BOARD Meeting of the Newcastle Community Hall Board on November 17, 2009 at 7 pm in the Council Chambers. Present Were: P. DeJong (chair) C. Abraham G. Robinson (councillor) L. Franssen B. Snowdon S. DeJong G. Bell (secretary) Regrets From: C. Trim MINUTES 1.1 Motion by G. Robinson, seconded by S. DeJong That the minutes of October 20 2009 be accepted as circulated. "Carried" BUSINESS ARISING 2.1 Gus Bastas from Massey House Restaurant offered platters from his restaurant to replace the dishes broken at Greek Night. The board declined his offer as the platters were used and not the dessert dishes broken. S. DeJong will speak with him on this matter again. 2.2 We have not had a response from the Fiddlers group. 2.3 Filters for the furnace have been replaced. 2.4 We did not receive the fridge as it was given to someone else. 2.5 Discussed hanging the screen in front of arch rather than behind it. The municipality has put out an email asking if there is anyone interested in purchasing this screen from us. 2.6 Christmas dinner will be on December 15 at 6 pm Olde Newcastle House. Spouses are invited to attend. It will be a roast beef dinner. FINANCIAL REPORT 3.1 Motion by C. Abraham, seconded by L. Franssen That the financial report be accepted as circulated. "Carried" BILLS 4.1 Motion by C. Abraham, seconded by G. Robinson That bills for supervision of$400.00 are paid as presented. "Carried" Page 2 HEALTH & SAFETY 5.1 Inspection report done for Oct `09. Chandelier bulb was replaced by Rob Groen from the Municipality— Secretary phoned to thank Rob very much as we have been waiting a number of months to have this replaced. Copy of report will be sent to Operations Dept. CORRESPONDENCE 6.1 YMCA at Newcastle Village requesting we sign agreement to use our facility as their emergency evacuation site. P. DeJong signed papers; secretary will see that they are returned to the appropriate person. 6.2 BIA requested our involvement in July 1 celebration. We will be advised of next meeting and additional information to come. The board agreed we should be involved in this event. 6.3 Email received from G. Robinson advising parking spots on the west side of Mill Street adjacent to the hall will be eliminated due to the new left hand turn lane. 6.4 Information received for Chamber of Commerce annual dinner. Motion by G. Robinson, seconded by S. DeJong That board members attend this dinner. "Carried" 6.5 Invitation from Horticultural Society for board members to attend November 24th Christmas Pot Luck. NEW BUSINESS 7.1 Update from S. DeJong on planning for the gardens from the architect. Board felt some of the plans were not necessary. This is still in the planning stages and we will continue to work with Horticultural Society. 7.2 C. Abraham is keeping up to date on the details for the Torch Relay through Newcastle on Dec 16. They will be using our facility for a gathering point. 7.3 Secretary reported that G. Gallagher forgot to add our request to be included in the advertising for the Tourism book. She was going to try to see if she could add us at this late date, but it did not sound hopeful. However, they were using our facility as a background (in future BIA will ask permission before going ahead with this sort of artwork). Secretary gave permission after the fact so they would not be delayed. Update received after meeting they were able to add us to the advertisement. It looks very good. ADJOURNED 7:50 PM
