NEWCASTLE COMMUNITY HALL BOARD
Meeting of the Newcastle Community Hall Board on October 20, 2009 at 7 pm in the
Council Chambers.

Brent Snowdon chaired the meeting.
MINUTES
1.1 Motion by S. DeJong, seconded by L. Franssen
That the minutes of September '09 be accepted as circulated. "Carried"
BUSINESS ARISING
2.1 S. DeJong will follow-up on dishes from Massey House Restaurant.
2.2 Fiddlers have been informed of what rent will be for auditorium, storage space
and set up. They will be meeting later this month; Shirley Severn will be in touch
with secretary.
2.3 Discussed light out in one of chandeliers. We are getting a lot of negative
comments from clients.
Motion by S. DeJong, seconded by L. Franssen
That we request Operations Dept replace light bulb while we are
investigating having the lighting refurbished. "Carried"
FINANCIAL REPORT
3.1 Motion by S. DeJong, seconded by L. Franssen
That the financial report be accepts as circulated. "Carried"

4.1 Motion by S. DeJong, seconded by C. Trim
Those bills for supervision of$550.00 are paid as presented. "Carried"
CORRESPONDENCE
5.1 Letter from Ganaraska Conservation regarding watershed was received for
information
5.2 Discussed advertising in Life in Clarington magazine. Decided to review in 2010.
5.3 Letter from Village Concerts regarding rent—this has been dealt with at
September meeting.
5.4 Letter regarding defibrillator servicing received for information.
NEW BUSINESS
6.1 Horticultural Society is moving forward with Trillium grant, board agreed to pay
first instalment for architectural drawings of$1500.00
Motion by S. DeJong, seconded by G. Robinson
That dollars for the Gardening project be taken from Montague Fund.

Motion by L. Franssen, seconded by S. DeJong
That Youth Gardeners be given permission to use the Gazebo area or
Centennial Room for their monthly meetings in 2010.
"Carried"
6.2 Motion by S. DeJong, seconded by L. Franssen
That the budget be submitted to Municipality as presented. "Carried"
6.3 Secretary to look into programmable thermostat for Auditorium
6.4 Filters for furnace have still not been delivered
6.5 A refrigerator has been offered to us free of charge. Agreed to take it for small
kitchen and move older fridge to Bowling Alley.
6.6 Talk to Jerry Barber/purchasing about finding a buyer for screen.
6.7 Discussed doing fundraiser in 2010
6.8 Order signage for front lobby to direct to washrooms
6.9 Funeral for Kaye Quinney is Saturday
6.10 G. Robinson has put in request to Operations Dept to clean up Cenotaph area.
6.11 Discussed paint overspray on Gazebo, hopefully this will wear off of roof area.

6.12 Collection of dollars from EuroCastle— may send board member to their offices
to collect if collection letter does not work.
6.13 Secretary to contact Old Newcastle House for Xmas dinner. Discussed ways of
reducing cost of this evening, i.e. not including spouses or paying for spouses.
