Meeting of the Newcastle Community Hall Board on September 15
at 7 pm in the Council Chambers.

MINUTES
1.1 Motion by G. Robinson seconded by S. DeJong
That the minutes of June '09 be accepted as circulated. "Carried"
BUSINESS ARISING
2.1 New screen has been received
2.2 S. DeJong will follow up with New Massey House re: plates
2.3 Dehumidifier has been purchased for Youth Room
2.4 Thank you very much to S. DeJong for setting up new office in Youth Room for
secretary and Cadets. New shelving has also been added for Early Years storage.
FINANCIAL REPORT
3.1 Motion by C. Abraham, seconded by L. Franssen
That the financial report be accepted as circulated. "Carried"
BILLS
4.1 Motion by G. Robinson, seconded by L. Franssen
That bills for supervision $770.00 and office set up $117.00 be paid as
presented. "Carried"

CORRESPONDENCE
5.1 Received for information notice from WSIB regarding increase.
5.2 Clarington Visitor Guide— secretary to contact Gina Gallagher of BIA to enquire
about being included on their page of advertising.
5.3 United Way courses— secretary given permission to sign up for courses
5.4 Received for information letter for Director of Operation regarding his extended
medical leave.
5.5 Received for information notice of Sport Fair by Community Services
5.6 E-mail from Mike Williams (Operations Dept)regarding auditorium chandeliers—
secretary to contact him for information on refurbishing of same.
5.7 E-mail from Mike Williams (Operations Dept)regarding leak on west side of
auditorium ceiling. Follow up with next rain storm.
5.8 Invite to CBOT Mayors Event.
Motion by G. Robinson, seconded by C. Abraham
That hall board members attend this event—tickets to be purchased by Hall
Board. "Carried"
5.9 Received for information Simply Social with CBOT.
5.10 Received for information Budget Guidelines from Nancy Taylor (Director of
Finance)
5.11 Received for information PAD update.
5.12 Longevity Award finally received from CBOT for 85 years in business in 2008.
NEW BUSINESS
6.1 Set budget meeting for Oct 6 at 6 pm—Pizza will be served.
6.2 Discussed fundraising.
