HomeMy WebLinkAbout2010-05-18 Minutes MUNICIPALITY OF CLARINGTON NEWCASTLE COMMUNITY HALL BOARD Meeting of the Newcastle Community Hall Board on May 18, 2010 at 7 pm in the Council Chambers. Present Were: P. DeJong (chair) L. Franssen G. Robinson (councillor) S. DeJong C. Trim (councillor) G. Bell (secretary) Regrets From: C. Abraham B. Snowdon MINUTES 1.1 Motion by S. DeJong, seconded by L. Franssen That minutes of March 16 2010 and April 20 2010 be accepted as circulated. "Carried" BUSINESS ARISING 2.1 Ontario Doors Open Event is pretty much set for the hall. Representatives from each room will have volunteers on duty from 10 am to 4 pm. Greek Night will be set up on Saturday. P. DeJong, S. DeJong and G. Bell will cover the hours at the hall. Doors Open will have two volunteers on sight to greet guests and keep track of numbers. Cadets will not be helping out but we do have one student volunteer to cover the Council Chambers. 2.2 Still negotiating with Fiddlers Group — they seem to be set on returning to Newcastle Hall but must take it back to their executive. FINANCIAL REPORT 3.1 Motion by C. Trim, seconded by G. Robinson That financial report is accepted as presented. "Carried" BILLS 4.1 Motion by G. Robinson, seconded by S. DeJong That bills for supervision of$480.00 be paid as presented "Carried" Page 2 CORRESPONDENCE 5.1 Received for information "Developing the Leadership Potential in your Community Group" seminar from Skip Crosby — Community Service Coordinator. 5.2 Invitation from Central East Prehospital Care Program to attend annual public awareness event on June 7 2010. Board does not have a member available to attend. 5.3 Received for information Ganaraska Conservation update. 5.4 Received for information news article naming Newcastle street after Joseph Atkinson 5.5 Received for information news article Doors Open Event. NEW BUSINESS 6.1 Discussed renting basement to Model Train Association. Cadets and our office will not be moved. Motion by C. Trim, seconded by G. Robinson That if Association is agreeable to our terms $1000.00/yr to begin August 2010, rent to be paid upfront on in two instalments then we will go ahead with contract. "Carried" 6.2 P. DeJong will speak with S. Fogg about vacation for this summer. Board will think about how best to cover his time off 6.3 Discussed lights on tree in parkette for Christmas. Will cost $400.00 to have the Town put them up for us. Motion by C. Robinson, seconded by C. Trim That we purchase new lights and have the town install same. "Carried" 6.4 G. Robinson brought up condition of property between parkette and hall. We will find out who is responsible for this. ADJOURNED 7:45 PM
