Meeting of the Newcastle Community Hall Board
held in the Council Chambers on March 22, 2011 at 7 pm.

MINUTES
1.1 Motion by C. Abraham, seconded by S. DeJong
That minutes of February 15, 2011 be accepted with the correction to a
attendance showing that L. Franssen was present at the meeting.

BUSINESS ARISING
2.1 G. Bell reported Hotel California fundraiser for Garden Project is set to go on
April 1. Ushers are needed for seating guests— C. Abraham, L. Franssen, P.
DeJong volunteered to help.
2.2 G. Bell reported still has not heard back from Historical Society as to what their
usage is to determine what plan may work with Bell Canada for Masons, Lions,
Historical Society and Hall Board.
2.3 Curtains have been fireproofed and curtain rod over stage window repaired.
2.4 Website G. Bell is meeting with Geek Girl to discuss pricing.
2.5 Boiler Room smell was due to crack in pipe. S. DeJong and Steve repaired the
crack.
FINANCIAL REPORT
3.1 Motion by L. Franssen, seconded by C. Abraham
That financial report is accepted as presented. "Carried"

4.1 Motions by W. Partner, seconded by W. Woo
That bills for supervision $200.00,All Clean $1627.20, CBOT $231.65 be
paid as presented. "Carried"
CORRESPONDENCE
5.1 CBOT AGM end of April— C. Abraham will attend to represent board
5.2 Thank you note from client circulated
5.3 CBOT ad put into January bulletin
HEALTH & SAFETY
6.1 Risk Management report to be copied to Operations Dept and filed.
NEW BUSINESS
7.1 S. DeJong reported fire alarm went off due to birthday party in Centennial Room
using large sparklers. We will ensure future parties know only normal small
candles may be used.
7.2 S. DeJong noted catering (filar Catering) staff did not vacate building when alarm
went off—we will post fire alarm procedures for future.
7.3 Discussed procedure if Sage should contact board member to come to alarm. Key
outside is for front door. Alarm key is in main key box in Steve's janitorial room.
Board member is to shut off alarm when instructed to by Fire Dept.
7.4 Motion by S. DeJong, seconded by C. Abraham
That kitchen screen door is replaced when patio is being done.

7.5 Discussed parking situation during last auction (Giant Auctions). G.Bell has
spoken with her contact there and notified them that trucks can not be parked on
Mill St.
7.6 Email attached from Mike Williams/Operations Dept he has checked area at front
of hall gutters some chunks of concrete fell—it appears to be sound but he will
keep an eye on this area.
7.7 Quote from Clean All to repair all curtain tracks in auditorium $3200.00 —this
will be tables until next years budget talks.
