Process for the Election of Executive
In a Board or Committee
1. Quorum - A quorum needs to be present throughout the meeting. Quorum is 50% of
the total number of members (as outlined in the terms of reference) plus one. For
instance, if the total number of members is seven, quorum is four. In the event that
the required quorum is not attained, the election will take place at the next meeting,
and this meeting will be noted as an "information meeting" in the minutes, with no
decisions being made.
2. Election Chair — Either a Council member, a non -voting member, staff, or the former
secretary shall be the Election Chair during the election process portion of the
meeting.
3. Nominations - Accepting nominations, from the floor, for the position of Chair:
• Nominator raises their hand to indicate they are going to nominate a member.
• Does not need a seconder.
• Nominees' names are recorded in the minutes.
• A person can nominate themselves.
• A member can be nominated for more than one position, but can only hold
one position at a time.
• A member may be nominated even if they are not in attendance.
• Nominees do not have to leave the room during the vote. They can
participate in the voting.
• The Election Chair can continue presiding, even if he or she is one of the
nominees for the office.
• Nominations are open until the Election Chair asks for nominations and there
are no names put forth at which time the Chair will close nominations.
• Nominees can remove their name at any point during the process.
4. Stand - As each member is nominated, the Election Chair asks the nominee if they
will have their name stand.
5. Voting — The Election Chair asks "All those in favour of Bob Smith for Chair, please
raise their hands".
• If there is only one nominee, Bob Smith is elected if he receives the majority
of votes. If he does not receive the majority of votes, the election of this
position is held over until the next meeting.
• If there is more than one nominee — the Election Chair drops off the lowest
votes until there are only two remaining, then majority wins.
6. Others — The other positions are elected in the same manner.
