HomeMy WebLinkAbout2011-03-14 Minutes - Fundraising Committee NEWCASTLE HERITAGE FUNDRAISING COMMITTEE (Subcommittee of Newcastle Community Hall Board) Meeting Date: Monday March 14, 2011 at 7 pm Location: Newcastle Community Hall—Auditorium Present Were: Jeany Barrett, Co Chair Gabrielle Bell Co Chair Mary Thorley Gord Robinson Kim Touw Sid DeJong Pat Thexton Barry Carmichael BUSINESS ARISING 1.1 J. Barrett announced Trillium Foundation approved grant of$123,400.00 for the project 1.2 Tickets are sold out. Fire Dept increased occupancy to 347. We have sold 335 tickets in total—4 band members, 2 light/sound people, and 6 bartenders. 1.3 It was decided that second bar area would be set up on west side of carpeted area. There will be 2 bartenders and 1 ticket seller at each bar area. Gord and Sherry Robinson donating liquor and beer cups. Purchase 2 types of beer, rye, rum, vodka and red/white wine. 1.4 Easel is available for display purposes. 1.5 G. Robinson did not need to use radio for advertising, but will have them make announcement about grant going through. 1.6 G. Bell has done seating chart and will bring copies night of event. 1.7 Thank you to P. Thexton for doing up tickets for us. 1.8 S. DeJong has purchased liquor licence. 1.9 K. Touw will purchase food for band when G. Bell let's her know what is required. 1.10 P. Thexton and B. Carmichael did up menu for dinner for the band. 1.11 Discussion about $250.00 quote from Massey House for munchies. It was felt this should have been donated by Massey House. G. Robinson and G. Bell will see if they can get this donated. Servers will not be allowed to stay if they do not have tickets. 1.12 M. Thorley is working on getting fundraiser indicator. 1.13 J. Barrett made presentation to Lions Club. Their budget is done for 2011 so they did not commit to a donation. 1.14 B. Carmichael and P. Thexton put display up at Newcastle Recreation Complex. It is very nicely done, but needs more information for upcoming events. 1.15 This will be brought over to the hall for Apri12. 1.16 G. Robinson has brought in the following list of sponsors for concert - Barr Roofing $1250.00 Page 2 - Rona Hardware Store $200.00 - Sullivan Ltd $100.00 - Orono Veterinary clinic $300.00 - Royal Masonry $500.00 - Gay Lawson $2000.00 —3000.00 NEW BUSINESS 2.1 K. Touw will do posters for sponsors to be put up around the hall on April 2. 2.2 J. Barrett will do flyer to hand out with information on project and how to donate. 2.3 S. DeJong will set up bar on April 1. Steve Fogg custodian will set up chairs for US. 2.4 K. Touw will be in charge of 50150 sellers—will need 4 volunteers 2.5 G. Bell will take care of ushers—will need 5 volunteers 2.6 J. Barrett will take tickets at door with 2 volunteers 2.7 Will need float for bar and 50150 2.8 Teen Dances will start in Sept 2011 2.9 Easter Monday remove plants from beds. 2.10 Motion by K. Touw, seconded by G. Robinson That G. Bell book Pop Stars for a teen show if she feels the show she is going to see at Stage West this week is received by her teen judges is great.
