BOARD MEETING
MINUTES
October 13, 2010

1. CALL TO ORDER
The meeting was called to order by the Vice Chair at 7:04 p.m.
2ADOPTION OF AGENDA

Moved by: B. Colville Seconded by: M. Carlton
THAT the agenda be approved with the addition of Business Arising item
b) Financial Reporting and addition of Friend Report under Committee
Reports. Item a) under New Business – Dept of Heritage Review is
removed from the agenda.

3. APPROVAL OF MINUTES
Moved by: S. Laing Seconded by: B. Colville
THAT the minutes of the meeting of September 8, 2010 be approved with
the amendment of changing Chair to Vice Chair under Meeting Called to
Order.

4. BUSINESS ARISING
a) Policy Follow Up:
Moved by: J. Rook Seconded by: B. Tanner
THAT Section 3 be TABLED until the next meeting.
MOTION CARRIED
6. COMMITTEE REPORTS
a) Finance Committee:
Moved by: J. Rook Seconded by: S. Laing
THAT the Revenue/Expense Report be tabled to the next meeting;
AND THAT the September Bills be accepted.
MOTION CARRIED
B. Tanner asked about status of grant money and was informed that it
would be received by end of year.
b)Friends Report
June Clark passed away in September. She has been involved with the
museum since 1981.
A reminder that the Craft and Bake Sale will be held on November 20,
2010.
7. EXECUTIVE DIRECTOR’S REPORT
Moved by: J. Rook Seconded by: B. Tanner
THAT the Executive Director’s report be accepted.
MOTION CARRIED
A review was undertaken of programming numbers since 2007 and the
trends were discussed.
8. NEW BUSINESS
b)Financial Reporting
Moved by: J. Witheridge Seconded by: B. Tanner
THAT the Finance Committee and the Executive Director meet to discuss
financial reporting to find a more efficient way of reporting our financial
situation.

9. DATE AND PLACE OF NEXT BOARD MEETING
The next meeting of the Board of Directors of the Clarington
NOVEMBER 10, 2010
