NO. 82-13 SUBJECT: "EXECUTIVE SECRETARY TO THE MAYOR" JOB DESCRIPTION RECOMMENDATIONS: 1. That this report be received; and �D lagi �.l.�al TELEPHONE 623-3379 2. That Committee approve the attached description for the position of "Executive Secretary to the Mayor"; and 3. That Committee forward the attached by-laws to Council for approval, giving effect to (2) above and confirming Mrs. M. Reid in the position of "Executive Secretary to the Mayor" BACKGROUND AND COMMENT: The attached job description has been prepared by the Mayor's office and received by the Administrator. It is brought forward at this time to clarify the duties and responsibilities of the "Executive Secretary to the Mayor". As in other non-union positions, it is recommended that the position be formally established by by-law. DNS:nof Re pely submitted, D. h, M.C.I.P., Administrator ���"' rte°'' THE CORPORATION OF THE TOWN OF NEWCASTLE BY-LAW NO. 82-22 being a by-law of the Corporation of the Town of Newcastle to establish the position of Executive Secretary to the Mayor WHEREAS the Council of the Corporation of the Town of Newcastle wishes to establish the position of Executive Secretary to the Mayor; NOW THEREFORE the Corporation of the Town of Newcastle by its Council ENACTS AS FOLLOWS: 1. The position of "Executive Secretary to the Mayor" is hereby established; 2. The position shall have the duties and responsibilities as set out in Schedule "A" to this by-law; 3. The position shall be compensated according to the Town's policy in respect of non-union salaries. Oakes e POSITION TITLE: SUMMARY OF DUTIES: WORK PERFORMED: QUALIFICATIONS: SCHEDULE "A" TO BY-LAW N 82-22 Executive Secretary to the Mayor Directly responsible to the Mayor for confidential and general secretarial duties related to the Office of the Mayor. 1. Organization and maintenance of personal records on behalf of the Mayor, and Members of Council as required. Liaison with various Departments of the Town on matters affecting the office of Mayor and business of Council. 2. Background research preparation of informat and correspondence for the Mayor and Members of Council. Information and correspondence may be of a confidential nature. 3. Receptionist duties including the provision general information and assistance to the public 4. Scheduling of meetings on behalf of the May( and Members of Council. 5. Scheduling of meetings in the Council Librax and maintenance of a record of the general use of the Library. 6. Other duties as may be assigned by the Mayor 1. Minimum of Grade 12, Junior Matriculation, c the equivalent combination of skills and experience. 2. Five (5) years of office experience with at least two (2) years in a confidential secretaria capacity. 3. Knowledge of municipal affairs at the local level. 4. Knowledge of office procedures, proficiency in shorthand, dictaphone and knowledge of other business machines and procedures. 5. Ability to communicate effectively with other staff and the general public. THE CORPORATION OF THE TOWN OF NEWCASTLE BY-LAW NO. 82-23 being a by-law to appoint an "Executive Secretary to the Mayor" The Municipal Council of the Corporation of the Town of Newcastle HEREBY ENACTS AS FOLLOWS: 1. That Maureen Katherine Reid is hereby appointed the Executive Secretary to the Mayor; 2. That Maureen Katherine Reid shall be paid for her services such a sum annually in accordance with the terms and conditions set out in Schedule "A" attached hereto. Rickard ayor David W. Oakes SCHEDULE "A" TO BY-LAW A 82-23 Terms and Conditions of appointment of Maureen Katherine Reid as Executive Secretary to the Mayor. The following shall be the terms and conditions of the employment of Maureen Katherine Reid as Executive Secretary to the Mayor, Town of Newcastle, namely: 1. The duties and responsibilities of the Secretary to the Mayor are established by By -Law No. as may be amended from time to time; 2. Maureen Katherine Reid shall be remunerated in accordance with the Town's Salary Administration Program, Salary Grade 5, Step 2; 3. Maureen Katherine Reid shall be entitled to all accumulated benefits presently earned, and shall be entitled to all other employee benefits for non-affiliated staff as may be determined from time to time.
