REPORT TO THE GENERAL PURPOSE AND ADMINISTRATION COMMITTEE
MEETING OF NOVEMBER 23 1981.
ADMIN. NO. 38-81
SUBJECT: Lease of Word Processing Equipment,
Planning Department
RECOMMENDATIONS:
1. That this report be received; and
2. That the attached by-law be adopted authorizing
the execution of an agreement with A.E.S. Data
Ltd., and First City Capital Ltd., for the lease
of word processing equipment for the Planning
and Development Department
BACKGROUND:
As members of Council are aware, the following resolution of
the Planning and Development Committee was adopted by Council at
its meeting of June 29 1981:
That the recommendations in Report P-117-81 be endorsed
and
1) Report P-117-81 be received.
2) The Director ofPlanningbe authorized to rent
Word Processing equipment for the Department of
Planning and Development for the balance of
1981, to a maximum allowable expenditure of $3,000.00; and
3) That such funds be taken from accounts 7702-202-000,
Conferences and Conventions, in the amount of $1,250.00
and that the balance of $1,750.00 be taken from account
7702-207-000, Professional Fees, and that staff be
authorized to rent the Word Processing equipment on
the following conditions:

a) that the rental be directly f=rom the supplier;
b) that it be for a six month period only and that
any subsequent rental be conditional on further
Town Council approvals and inclusion in the 1982 budget;
c) that the $3,000. limit be recognized to include all
necessary training of staff and servicing of the
equipment;
d) that the, sLaff committcc in the choosing
of the equipment to be rented and that the Planning
and Development Committee be advised of the
committee's decision;
e) that the Director of Planning be requested to report on
the value of the equipment to the operations of the
Planning and Development Department, with a view
to evaluating Word Processing systems for use in other
Municipal Departments in the 1982 budget year.
Further to the above, staff have examined two Word Processing
Systems for use in the Planning and Development and have decided
that the A.E.S. Plus Word Processing system would best suit the
Department's requirements at this time. Rather than testing
the system for a six month period, the equipment will be evaluated
over a three month period, and a further report forward to
Committee as to its value to the operations of the Planning
and Development Department.
