Horne, Recording Secretary Guest: Brian Colville, Trustee, Kirby United Church 1. CALL TO ORDER The meeting was called to order at 7:10 p.m. by the Chair. 2. ADOPTION OF AGENDA Moved By: M. Van Dyke Seconded By: J. Witheridge THAT the Agenda be approved, with the addition of an item on the proposed Band Museum Partnership. MOTION CARRIED 3. APPROVAL OF THE MINUTES OF May 11, 2005 Moved By: J. Witheridge Seconded By: D. Climenhage THAT the minutes of the Board Meeting of May 11, 2005 be approved. MOTION CARRIED 4. BUSINESS ARISING The Administrator advised that a travelling exhibition on Medieval Times has been tentatively booked for the months of May, June and July 2007. The exhibit is in great demand and the timing of it will be beneficial for the school programs. Moved by: J. Witheridge Seconded by: M. Van Dyke THAT the booking for the Medieval Times exhibit be confirmed. MOTION CARRIED 5. CORRESPONDENCE Moved by: T. Oke Seconded by: H. St. Croix THAT the correspondence be received. MOTION CARRIED 6. COMMITTEE REPORTS a) Finance Committee: Moved by: D. Climenhage Seconded by: J. Witheridge THAT the Finance Committee Report be accepted. MOTION CARRIED 7. ADMINISTRATOR’S REPORT The Administrator advised the grants applied for had been 100% successful and enabled the hiring of 4 students. Different projects the students will be involved with were explained to the Board. One more student from Quebec may be hired in the near future. The plant sale held at the Bowmanville Museum was a huge success, and a great deal of interest was shown by the public in heritage plants. The Administrator also advised the book sale had been successful having sales over $700.00. Also, the Hunting Grounds exhibit held at the school house th June 5 had been very successful, with a full house in attendance. This exhibit was arranged by S. Mariglia Bosgraaf. The Administrator advised the Board that she will be taking 4 weeks holidays thth commencing June 11, returning July 11. In her absence, the Curator, Charles Taws will be acting Administrator. Moved by: J. Witheridge Seconded by: M. Van Dyke THAT the Administrator’s Report be accepted. MOTION CARRIED 8. NEW BUSINESS a)Kirby Church Project Plan: The Board welcomed Brian Colville, Trustee, Kirby United Church to the meeting. The Administrator provided the Board with the Kirby United Church Move Project Plan. As there were no restrictions from Council on how to raise the money, it was agreed that the fund raising must start immediately with the move of the Church to be no later than 2007. Mr. Colville inquired when the fuel, hydro and insurance expenses would be transferred to the museum. He was advised that this milestone would added to the project schedule according to direction from municipal staff. The public meeting to be held Thursday, June 9 at the Kirby United Church will be the ‘kick off’ for the fund raising. The Administrator asked Mr. Colville if the church would provide coffee and tea for the meeting. On behalf of the Board, John Witheridge expressed thanks to the Administrator for all the effort that has been put into this move. Moved by: J. Witheridge Seconded by: T. Oke THAT the Clarington Museums and Archives Board accept the proposal. MOTION CARRIED b)Band Museum Partnership: D. Climenhage raised discussion as to when the Band Museum proposal should go to Council. It was decided that Councillor Robinson be asked to attend a meeting with K. Isnor and D. Climenhage with regard to this matter. Moved by: M. Van Dyke Seconded by: J. Witheridge THAT a sub-committee be formed consisting of K. Isnor, D. Climenhage and Councillor G. Robinson to decide when this matter should be brought before Council. MOTION CARRIED DATE AND PLACE OF NEXT BOARD MEETING: Moved by: H. St. Croix Seconded by: J. Witheridge THAT the next meeting of the Clarington Museums and Archives Board be held August 10, 2005 on at the Sarah Jane Williams Heritage Centre, Bowmanville commencing at 7:00 p.m. ADJOURNMENT Moved by: H. St. Croix THAT the meeting adjourn at 8:10 p.m.
