BOARD MEETING
MINUTES
September 12, 2007

1. CALL TO ORDER
The meeting was called to order by the Chair at 7:05 p.m.
2. ADOPTION OF AGENDA
Moved by: J. Witheridge Seconded by: B. Colville
THAT the agenda be approved.

3. ADOPTION OF MINUTES
Moved by: P. Ford Seconded by: W. Tanner
THAT the minutes of the June 13, 2007 Board Meeting be approved.

4. BUSINESS ARISING
(a) The Chair advised that committee appointments should be made for the
two new Board Members. J. Witheridge agreed to join the Property
Committee and W. Tamler agreed to join the Collections Committee.
(b) J. Witheridge suggested that a long teen vision for the Clarington
Museums be considered by the Board in the immediate future and that a
special meeting of the Board be called for this purpose. The
Administrator advised that there was a draft long term vision which had
been in place for some time which does need to be either modified or
endorsed by the Board. It was discussed that the first priority is the move
of the Kirby Church.
Moved by: J. Witheridge Seconded by: W. Tanner
THAT time be set aside at the November board meeting for the board
members to establish a long term vision for Clarington Museums and
Archives.
MOTION CARRIED
(c) The Administrator advised that the museum had been approached by a
person wishing to buy an organ that had been deaccessioned as the
museum has a duplicate. It is the policy of the museum that deaccessioned
articles are put up for auction out of the area. The price offered for the
organ is $300.00, and as the organ will be in used in a private home for the
purpose of choir practice and will be picked up by the purchaser, it was
suggested that the museum accept the offer to purchase this organ.

THAT the museum proceed with the sale of the deaccessioned organ for
the purchase price of$300.00

THAT the correspondence be accepted.

6. COMMITTEE REPORTS
(a) Finance Committee:
Moved by: P. Ford Seconded by: B. Colville
THAT the Finance Committee report be accepted.

7. ADMINISTRATOR'S REPORT
The Administrator reported that the Sunday teas on the verandah had been
well accepted for the first year.
It was noted that numbers of visits to the museum were down,but the
reason for this could be due to the local economy.

THAT the Administrator's Report be accepted.

8. NEW BUSINESS
The walkway between the Bowmanville Museum and the Sarah Jane
Williams Heritage Centre was discussed. The Administrator explained
that quotes were being received for the work to be done and also how the
walkway would look when finished.

THAT the Property Committee select the best quote for the walkway.

9. DATE AND PLACE FOR THE NEXT BOARD MEETING
The next meeting of the Clarington Museums &Archives Board will be
held October 10, 2007 at the Sarah Jane Williams Heritage Centre
commencing at 7:00 p.m.

Moved by J. Witheridge that the meeting adjourn at 8:30 p.m.
