Horne, Recording Secretary CALL TO ORDER The meeting was called to order at 7:10 p.m. by the Chair. ADOPTION OF AGENDA Moved By: J. Rowe Seconded By: J. Vinson THAT the Agenda be approved with the addition of 2 topics under new business, being `Admissions' and `Planting Day'. MOTION CARRIED APPROVAL OF THE MINUTES OF MARCH 17 2004 Moved By: Councillor G. Robinson Seconded By: S. Laing i THAT the minutes of the Board Meeting of March 17, 2004 be approved with the correction of a typographical error on page 5, section b) Recommended Changes to Policy Manual, item c) to change the word `wither' to `either'. MOTION CARRIED BUSINESS ARISING a) Logo: The Administrator submitted the edited museum logo which includes the Durham Roller Boat. The Board was advised there would be two samples provided for the next meeting. J. Rowe suggested the possibility of incorporating sections of the Town crest into the logo. M. Van Dyke submitted copies of various logos from other museums and one which he had designed. The Administrator requested that the Board make a decision on the logo at the next Board meeting in order to facilitate ordering of various signs, stationery, etc. CORRESPONDENCE Moved By: S. Laing Seconded By: M. Van Dyke THAT the correspondence be received. MOTION CARRIED COMMITTEE REPORTS: a) Property Committee Report: The Property Chair reported on the Property Committee Meeting held March 24, 2004 and discussion was held regarding the feasibility of the Kirby United Church proposal. The Administrator explained details regarding the funding. The general consensus was that the Kirby United Church Proposal was a "win-win" situation and should be pursued. Moved By: J. Witheridge Seconded by: S. Laing THAT the Property Committee Report be received. MOTION CARRIED UNANIMOUSLY i b) Collections and Event Planning Committee Report: The Collections and Event Planning Committee Chair advised that the revised Section 8 and Section 9 of the Policy Manual have been completed. Moved By: S. Laing Seconded By: P. Ford THAT the Collections and Event Planning Committee Report be received. MOTION CARRIED c) Finance Committee Report: The Administrator reported on the Finance Committee Report in the absence of the Finance Chair. It was explained that the bank accounts were to be moved to TD Canada Trust to take advantage of cost savings. Councillor Robinson questioned the telephone expense for the month of March. Moved By: J. Rowe Seconded By: Councillor Robinson THAT the Finance Committee Report be received. MOTION CARRIED d) NVDHS M. Van Dyke,NVDHS Representative advised the Board that the Historical Room has now been divided into 14 different categories, the work having been accomplished by the Curator. The two Massey dresses now on display at the Sarah Jane Williams Heritage Centre have been loaned to the museum by NVDHS. The next general meeting is May 3rd at the Newcastle Community Hall commencing at 7:30 p.m. This meeting will feature speakers representing two families from Newcastle. M. Van Dyke expressed the appreciation of NVDHS to the Municipality for the $1,000.00 grant recently received. ADMINISTRATOR'S REPORT The Administrator presented the April Report. Yard cleanup at 37 Silver Street is scheduled for April 26 and everyone is invited to participate. The book sale at Clarke Museum will be held May 15, 2004. The Administrator advised the Board that this year a new project will be undertaken. A garden party and plant sale at 37 Silver Street on May 29"' is being organized with great anticipation. The Administrator advised that the conservatory at the house is being used once again as was its purpose many years ago. Many seedling plants both vegetable and floral are growing happily in the climate of the conservatory. These plants will be sold at the garden party and donations of any other plants that members have will be gratefully appreciated. Moved By: J. Witheridge Seconded By: M. Van Dyke THAT the Administrator's Report be received. MOTION CARRIED NEW BUSINESS The Administrator recommended that a revised fee schedule be in place for the various sites of Clarington Museums, consisting of a two day"pass" for all three sites. Discussion was held re the current charges for each site. Moved By: J. Witheridge Seconded By: J. Vinson THAT the Clarington Museums and Archives issue a two day pass for all three sites of$5.00 adults, $3.00 seniors and students and$12.00 for families, and that the admission fee for 62 Temperance Street only be$2.00 adults, $1.00 seniors and children and$5.00 for families. MOTION CARRIED The annual planting day at 37 Silver Street will be Saturday, June 5th commencing at 9:00 a.m. The Administrator advised that 62 Temperance Street will also need planting as well. DATE AND PLACE OF NEXT BOARD MEETING Moved By: S. Laing Seconded By: Councillor G. Robinson THAT meetings of the Board of Clarington Museums and Archives be held on the second Wednesday of each month. The next Board meeting will be held May 12th, 2004 at 7:00 p.m. at 62 Temperance Street, Bowmanville. MOTION CARRIED ADJOURNMENT Moved by: J. Witheridge THAT the meeting adjourn at 8:30 p.m.
