Review and approval of Agenda 2. Review and approval of previous meeting minutes • John offered to take on the role of secretary for this year. All voted in favour. Thank you John. 3. Community Partner Presentation • Jeff Haskins, Durham Regional Police Services (DRPS) • Jeff is a Clarington resident and a DRPS employee. He worked closely on the revision of the DRPS diversity, equity and inclusion strategic plan. • The DRPS has had an advisory committee, established in 2006, comprised of 17 residents. Mr. Haskins has been involved with the Committee as a liaison between the Committee and the Chief. • The Committee has struggled with defining their purpose over the years. They have revisited several times since 2010, but continued to struggle to meet the objectives as set in the strategy. In 2016, they looked more deeply at why they were struggling and found they need a staff / leadership internal structure to help make their plan happen. They needed to take concrete steps forward and incorporate inclusive language and practices. • They focussed on engagement by making their work relevant, making it part of the culture and business practice. • Recognize they cannot make changes overnight but can certainly take steps towards change. • Please see attached document or link below for full Durham Regional Police Services Diversitv Strateaic Plan. 4. Strategic Planning Session • The Committee participated in a facilitated session to begin some strategic planning. • The goal of the exercise was to work towards developing a vision and mission statement for the Committee. • Vision statement defined as "an aspirational description of what an organization would like to achieve or accomplish in the mid-term or long term future. A clear guide for choosing current and future courses of action. • Mission statement defined as "a written declaration of an organization's core purpose and focus that normally remains unchanged over time. • To begin this planning session, the members answered the following questions (answers are summarized / voted on by the members for priority). • With whom do we hope to engage through our work (top 3 identified)? • What contributions did you hope to make when you applied for the committee? • Please see attached chart for comments and summary of this exercise. 5. Other Business The Members considered meeting again in December, however voted to wait until their next scheduled meeting in January. 6. Action Items For the next meeting, the Members are asked to consider the following questions: o Why do we (the Committee) exist? What is our purpose? o Goal Setting: Where do we go from here? How would you describe your ideal desired outcome(s) for the Committee? Next meeting: Wednesday January 23, 7:00 PM Municipal Administrative Centre, Room 1A
